Position Overview:
The ideal candidate will provide comprehensive administrative and legal support to associates and partners, ensuring the smooth and efficient operation of litigation cases. This role demands exceptional organizational abilities, attention to detail, and the ability to thrive in a fast-paced environment. You will work alongside Litigation Paralegals, reporting into the Director of HR and Administration. (Non-Exempt).
Key Responsibilities:
Litigation Support:
-Coordinate and organize materials for meetings, including preparing agendas, assembling documents, and ensuring necessary technology or equipment is set up.
-Maintain and manage attorneys’ calendars by scheduling and tracking appointments, deadlines, meetings, and court appearances.
-Reserve and prepare conference rooms for internal and external meetings, ensuring proper setup and technical functionality.
-Order and manage catering for meetings and events as needed, ensuring timely delivery and appropriate setup.
-Assist attorneys with accurate time entry and ensure timely submission for billing purposes.
-Work closely with the firm’s billing system, providing support for invoicing, expense reconciliation, and addressing billing inquiries.
-Handle heavy expense reporting, including processing reimbursements, tracking expenditures, and maintaining detailed records.
-Utilize advanced word processing skills to stylize legal documents, ensuring proper formatting for pleadings, correspondence, and filings.
-Create and edit Tables of Authorities (TOA) and Tables of Contents (TOC) with accuracy and efficiency.
