Position Summary
Legal-Tax Assistant will work with the Tax-Legal Operations Manager to assist in the allocation of firm resources, i.e., professionals, paraprofessionals and staff; coordinate calendars and assist the Partners and Managers prioritize client projects; track and follow up on information required to execute client projects; track completion of projects and project statuses; communicate and coordinate assignments with the internal staff; and assist in maintaining the firm’s workflow technology.
Essential Functions / Key Deliverables
- Technical Deliverables (experience in the below is preferred, but will train in areas not familiar with)
- Estate Plan assembly
- Create Binders
- Make copies
- Cover Letter assembly
- Edit, proofread, and revise all letters to clients on attorney’s behalf
- Create and prepare checks for legal partner approval
- Electronic Filing
- Prepare responses to taxing authorities regarding tax notices and organize supporting information for taxpayers under audit
- Drafting transfer deeds, business license applications, LLC operating agreements, secretary of state filings, corporate articles and bylaws,
- Research and file registered entity names, articles of incorporation, etc.
- Ensure clients maintain annual/biennial compliance with Secretary of State and/or SOI record requirements
- Draft updated minutes to business entities
- Assist with Trust administration and accounting
- Draft/edit/finalize/file emails and client memorandums
- Ability to review, identify, and correct errors on documentation, shipping labels, etc.
- Estate Plan assembly
- Client Service
- Act as a client liaison for Talley Law Group, LLP and Talley LLP including gathering appropriate information
- Draft and manage engagement letters
- Assist professionals in delivering the various services of the firm.
- Appointment scheduling
- Perform follow-ups and send reminder emails
- Project and Task Management
- Set up of projects, milestones and tasks in firm project management software program(s)
- Update and manage daily project and task reporting for self and professionals
Successful applicants will have a minimum of 2 years of experience as an administrative assistant in a law or tax compliance firm and the following qualities:
- Associate Degree is preferred, but not required
- Ability to exercise discretion and maintain strict confidentiality on all matters (personal and professional)
- Must be a highly motivated individual with a high level of initiative
- Must have an attitude of willingness to work outside defined job responsibilities
- Must be comfortable with daily time entry requirements
- Must be comfortable with learning new software and using technology as a communication tool
- Social and people friendly
- Proactive and creative in enhancing firm branding
- Excellent written and verbal communication skills and strong command of English language
- Must be detail-oriented and thorough in approach
- Must be friendly, positive, high energy and customer service oriented
- Must be able to work independently and multitask
- Must have strong organizational and time management skills
- Strong ability to problem solves
- Extensive knowledge of Microsoft Office, PowerPoint, Word, Excel and a minimum typing speed of 65 WPM.
