Legal Secretary - Adams & Martin Group

Our St. Louis office is seeking an experienced Legal Secretary to support our expanding legal practice. This role involves working closely with attorneys and paralegals to provide high-quality legal services to clients. The position requires performing complex administrative and secretarial tasks in a collaborative and team-oriented environment. The Legal Secretary will primarily support multiple attorneys and provide back-up assistance as needed.

Key Responsibilities:

• Provide professional administrative support to attorneys to meet client deliverables.
• Prepare client intake forms, initiate conflict checks, draft engagement letters, and open new files.
• Create, edit, and proofread legal documents, including court filings, discovery documents, and correspondence.
• Organize and prepare case materials and exhibits for e-filing with courts and agencies.
• Manage attorney calendars and workloads, ensuring deadlines and client needs are met.
• Assist with billing processes, including proforma review and resolution of billing issues.
• Maintain electronic files using a document management system.
• Coordinate travel, meetings, and presentations; manage expenses and attorney CLE reporting.
• Support attorneys with business development and marketing activities.

Requirements:

• Employees must be fully vaccinated against COVID-19 or have an approved medical or religious accommodation, as required by law.
• 4+ years of experience as a legal secretary, preferably in labor/employment litigation.
• Strong knowledge of legal terminology, documents, and processes.
• Federal and state court experience, including electronic court filing (ECF).
• Typing speed of at least 70 words per minute.
• Proficiency in MS Office, document management systems, and legal database software.
• Excellent written and verbal communication skills.
• Exceptional organizational skills and attention to detail.
• Ability to manage time effectively and work independently or as part of a team.
• Marketing or event coordination experience is a plus.
