Job Details
Responsibilities:
- Assist paralegals in preparing files for upcoming hearings and depositions.
- Maintain the attorney calendar by noting due dates for answers, depositions, pleadings, hearings, trial calendars, etc.
- Manage attorney billable time entries, ensuring accuracy and balance.
- Prepare rough drafts and proofread legal documents before finalization.
- Transcribe dictation and format letters, pleadings, and other legal documents with precision.
- Ensure strict compliance with client guidelines regarding document preparation, mailing, and copying, along with other specific client requirements.
- Open new files, conduct conflict checks, and draft acknowledgment or engagement letters to clients at the request of attorneys.
- Handle the copying and mailing of all correspondence and packages to various parties using various mailing services.
- Review and confirm all client bills and invoices, forwarding them for payment in accordance with client guidelines.
- Maintain accurate file content, indexes, and tabulations, continuously ensuring organization and accessibility.
- Open, manage, or route attorney mail to the appropriate counsel.
- Schedule depositions as required.
- Perform receptionist duties and remain open to requests for support or assistance outside the scope of this description, as directed by the management team.
- Participate in one or more strategic planning committees.
- Mentor and train new employees in the position.
- Familiarity with the format of various legal documents, such as Requests for Reproduction of Documents, Responses to Interrogatories, and Motions.
- Knowledge of various court rules and filing requirements.
- Strong knowledge of relevant terminology (legal, medical, etc.) as it pertains to the practice area(s).
- Excellent spelling, diction, and grammatical skills, equivalent to those acquired through a high school or general education degree.
- Exceptional organizational, prioritization, proofreading, and attention to detail skills.
- Ability to maintain impeccable integrity in handling confidential matters.
- Interpersonal skills necessary for effective communication with attorneys, staff, and clients, demonstrating courtesy, diplomacy, and tact.
- Typing speed of 70 wpm and proficiency in using computers and office equipment.
- Willingness to occasionally work more than 40 hours per week, if necessary.
- Physical ability to sit, bend, stoop, use a computer keyboard continuously, make telephone calls, read, and occasionally lift 25-50 lbs. or more.
- Willingness to travel to offsite locations for document collection or filing, which may involve driving.
- The firm may consider substituting experience for educational requirements and vice versa, depending on circumstances.
