This role is 5 days per week on site at their LA office. (Please note this is an in-person role in Downtown LA.)
Job Summary
As a Legal Secretary, your role involves delivering proficient administrative assistance to designated attorneys in litigation, regulatory, and transactional areas. This includes supporting members of the firm's Executive Committee and/or Management Board.
Job Responsibilities
- Formats legal documents, oversees e-filings, and manages correspondence.
- Prepares litigation materials, including complex formatting and filing with various courts.
- Sorts and distributes mail, maintains attorney calendars, and coordinates meetings and events.
- Screens calls, handles confidential information, and resolves client issues.
- Manages attorney time entries and collaborates on client billing with Billing Coordinator.
- Conducts research, processes invoices, and assists with administrative tasks.
- Supports firm leadership and practice group leaders as needed.
- Maintains filing systems, adheres to policies, and assists with team support.
- Performs additional duties tailored to the practice of assigned attorneys.
Qualifications:
- This position requires a minimum of five (5) years of experience supporting litigation partners and other litigation attorneys.
- Effective collaboration skills, working both independently and in a team with enthusiasm.
- Proficient in MS Office (Outlook, Word, Excel, PowerPoint) for creating high-quality written communications and legal documents.
- Familiarity with Adobe, Forms Workflow, Workshare Compare, and Best Authority or equivalent software preferred.
- Adaptable to changing priorities, meets deadlines, and manages workload effectively.
- Exercises discretion in handling confidential information with poise and diplomacy.
- Familiarity with legal terminology and procedures.
- Typing speed of 80 words per minute.
- Willingness to work overtime if required.
- Capable of lifting, moving, and carrying items up to 25 pounds safely and independently.
