Position Summary:
We are seeking a detail-oriented
Legal Administrative Assistant
to provide critical support to our attorneys. The ideal candidate will ensure smooth administrative operations, including document production, client communication, scheduling, and more. This role offers a dynamic work environment and opportunities for professional growth.
Key Responsibilities:
Document Management:
Prepare, proofread, and format legal documents with accuracy and attention to detail. File documents electronically and distribute correspondence effectively.
Scheduling Coordination:
Manage calendars, schedule meetings, reserve conference rooms, and coordinate workflows to meet deadlines.
Client Interaction:
Serve as a professional and courteous liaison, answering calls, managing messages, and providing relevant information to clients and team members.
Billing Time Management:
Assist with time entry, billing processes, and conflict checks. Manage billing files and process client payments.
File Organization:
Maintain and organize client files, case materials, and administrative documents following firm guidelines.
Travel Expense Management:
Arrange travel schedules and process expense reimbursements for team members.
Mail Invoices:
Handle incoming and outgoing mail, manage messenger services, and process vendor invoices promptly.
Team Support:
Provide backup administrative support to other attorneys as needed.
Qualifications:
Education:
Associate’s degree required; Bachelor’s degree preferred.
Experience:
1–2 years of administrative experience or related work.
2–5 years of experience as a litigation legal secretary is preferred.
Skills:
Proficiency in Microsoft Office Suite.
Exceptional verbal and written communication skills.
Strong organizational abilities and attention to detail.
Ability to multitask effectively in a team-oriented environment.
