Greenberg Gross LLP is a high-stakes boutique trial law firm that litigates cases grappling with some of the most important issues facing society. The Firm has an immediate full-time opening for an Intake Specialist. The ideal candidate for this role is focused and can manage a high-volume and time-sensitive workflow effectively and efficiently. Strong people skills are necessary and must possess the aptitude to accurately screen potential client calls. The position requires one to work both independently and within a team environment.
Essential Duties And Responsibilities
- Effectively communicate through phone calls, texts, chats, and e-mails. Continuously follow up with pending inquiries. Document voice messages. Take accurate notes during the initial intake calls. Collect and enter leads and clients' information in the case management system.
- Contact every potential client & establish rapport with client.
- Interview and meet with current and potential clients to address case specific concerns and ascertain some case facts and case documents. Conduct potential new client interviews with genuine empathy and compassion.
- Persistently monitor all potential new client inquiries (email, internet, phone & referrals).
- Update logs and reporting systems to reflect status of all potential new clients; doing so with strong accuracy when entering the potential client's contact information.
- Evaluate prospective client inquiries and phone calls, analyze their case fit and ensure they feel seen and heard.
- Calendar appointments, meetings, and phone calls with prospective clients.
- Communicate with clients, witnesses, and other outside parties as requested or approved by attorneys.
- Work with the attorneys to complete the initial consultation process. Follow instructions from the supervising attorney and execute accordingly.
- Assist attorneys with administrative tasks related to opening new cases and maintaining databases.
- Update case files on a daily basis. Maintain and organize electronic case files to ensure case documents are easily and promptly accessible to all team members.
- Perform other duties and responsibilities as assigned.
Knowledge, Skills And Experience
- Minimum of 2 years' experience in a legal setting.
- Bilingual in Spanish is a plus.
- Self-starter with the ability to effectively manage a high volume of calls in a face-paced environment.
- Proficient with Microsoft Office suite applications.
- Commitment to help clients by providing an easier, less stressful legal experience.
- Ability to document and meet deadlines and stay self-accountable for meeting deadlines and finish priority related tasks.
- Excellent written and interpersonal communications skills.
- Strong organizational skills with ability to prioritize project requirements.
- Can-do attitude and flexible approach.
- Ability to work independently as well as in a team environment with attorneys, paralegals and other staff members.
- Perform complex tasks that may be highly confidential or sensitive in nature, requiring discretion and diplomacy.
- Strong analytical and problem-solving skills.
- Prior customer service experience is preferred (i.e. serving, call center, etc.)
- Ability to work overtime and travel as needed is also required.
