Legal Executive Assistant - Gpac

A leading personal injury law firm based in Waterloo, Iowa, is seeking a highly organized and proactive Executive Assistant to support our legal team and ensure the smooth operation of our office. This position requires strong attention to detail, excellent communication skills, and the ability to manage multiple tasks in a fast-paced environment. The ideal candidate will be comfortable interacting with clients, handling sensitive legal documents, and supporting attorneys in various administrative tasks.

Key Responsibilities:

• Provide administrative support to attorneys and staff, including managing calendars, scheduling meetings, and handling correspondence.
• Coordinate client appointments, case meetings, and hearings.
• Assist with the preparation and organization of legal documents, including pleadings, motions, and discovery.
• Maintain and organize physical and electronic files related to ongoing cases.
• Communicate with clients to provide updates on case status and answer inquiries.
• Prepare and proofread legal documents to ensure accuracy.
• Manage office supplies and ensure the office is stocked and organized.
• Handle confidential and sensitive information with professionalism and discretion.
• Assist with billing, invoicing, and timekeeping for attorneys.
• Coordinate travel arrangements for attorneys as needed.

Qualifications:

• Education: High School Diploma or GED required; Associate's or Bachelor's Degree preferred.
• Experience: At least 2 years of experience as an executive assistant or in a legal administrative role. Experience in a personal injury law firm is a plus.
• Skills:
  • Strong written and verbal communication skills.
  • Exceptional organizational and multitasking abilities.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, etc.) and legal management software.
  • Knowledge of legal terminology and procedures, particularly in personal injury cases, is preferred.
  • Ability to work independently and as part of a team.
  • Professional demeanor and the ability to handle sensitive client information with confidentiality.
