Vaco is conducting a confidential search on behalf of a distinguished, large law firm for a Legal Assistant to join their litigation team. This role requires a highly motivated individual with a strong background in supporting litigation attorneys within a dynamic and fast-paced environment.
Position: Legal Assistant - Litigation Team
Location: San Francisco (hybrid work schedule with 3 days onsite)
Salary: Up to $115,000 per year, + 5 percent bonus, 401k match, 5% profit sharing contribution, vests on day 1
Key Responsibilities:
- Client Service: Handle telephone calls, take detailed messages, provide information, refer calls to appropriate team members, and arrange conference calls. Ensure timely and professional communication with clients and team members.
- Document Preparation: Prepare, revise, and format legal documents, pleadings, and correspondence. Compile, type, edit, and store documents accurately. Proofread and edit documents for grammar, spelling, punctuation, and format. Distribute correspondence using various methods.
- Time Entry/Billing: Input daily time entries for team members, open new client or matter numbers, perform conflict checks, and handle billing processes including special billing requests. Act as a liaison with the accounting department for past due receivables. Position will support a team of 6 timekeepers.
- Scheduling: Schedule appointments, meetings, court dates, and depositions. Coordinate workflow to meet deadlines and arrange travel schedules and reservations.
- Mail Management: Review, prioritize, and route incoming mail. Prepare outgoing mail and overnight packages. Coordinate messenger pickups and deliveries.
- Filing: Maintain orderly and current files according to firm guidelines, including client files, court filings, and administrative materials. Ensure quick retrieval of information and document control. Close and send files to storage as per firm policy.
- Education: Bachelor’s degree preferred or equivalent work experience.
- Experience: Prior experience supporting litigation in a large law firm environment is required. Knowledge of U.S. Federal District Courts and State court rules is essential. Familiarity with litigation documents, including Tables of Contents and Tables of Authorities, is preferred.
- Skills: Proficiency in MS Office Suite and advanced technical skills, including a typing speed of at least 60 wpm. Strong organizational, multitasking, and interpersonal skills. Ability to handle sensitive and confidential matters with discretion and professionalism.
- Billing: Experience with legal billing processes is required.
