The Opportunity:
We are seeking a Legal Administrative Assistant to provide comprehensive support to a team of attorneys specializing in Intellectual Property (IP) litigation at our San Francisco office. The successful candidate will play a pivotal role in facilitating efficient coordination within the team, encompassing document preparation, client interaction, and deadline management.
Job Description:
Draft, format, and meticulously proofread legal documents using MS Word.
Manage data, electronic documents, and reporting in accordance with firm protocols.
Ensure timely and accurate filing of documents.
Monitor and follow up on docketed and non-docketed deadlines.
Facilitate E-Court filings in compliance with State and Federal Court regulations.
Transcribe legal correspondence and documents.
Review and edit documents for precision and adherence to standards.
Maintain client files and document binders accurately.
Utilize redlining software for contract revisions.
Liaise with clients regarding service notifications and case updates.
Proactively engage with clients to provide updates and solicit feedback.
Complete assigned projects within stipulated deadlines.
Cultivate positive relationships with clients, colleagues, and stakeholders.
Uphold confidentiality in handling sensitive client matters.
Manage timekeepers' schedules and calendars efficiently.
Provide administrative support including scheduling, expense reporting, and email management.
Perform in-office duties as required.
The Firm is Seeking:
High school diploma or equivalent; college education preferred.
Minimum five years of experience as a Legal Secretary/Assistant in a law firm setting, with emphasis on IP litigation.
Proficiency in MS Word with strong typing skills.
Familiarity with electronic and paper file management systems; iManage experience desirable.
Exceptional proofreading, editing, and organizational abilities.
Ability to work autonomously with a commitment to excellence.
Adherence to firm policies and procedures.
Effective communication and interpersonal skills.
Strong time management and prioritization skills.
Detail-oriented with a focus on accuracy.
Professional demeanor and discretion in handling confidential information.
Ability to multitask and manage competing priorities.
