POSITION SUMMARY
The legal assistant is a vital contributor to our legal teams. In this role, you will support the delivery of quality legal services to our clients by providing administrative and secretarial assistance to attorneys. Responsibilities range from complex and specialized secretarial tasks to administrative activities, while working collaboratively with others in the local office as well as personnel in other Bradley locations. This position generally supports a group of attorneys as a primary assignment and provides back-up assistance to others as needed.
ESSENTIAL FUNCTIONS
- Provide excellent service to internal and external customers
- Prepare routine correspondence, memoranda, and legal documents including, but not limited to, contracts, agreements, amendments, and other transactional documents
- Accurately file documents electronically and in document form, and ensure compliance with specific filing requirements for various jurisdictions
- Anticipate the needs of assigned attorneys in order to promote timekeeper efficiencies (i.e., drafts correspondence, prepares drafts of agreements, and other transactional documents in advance)
- Accurately proofread all documents to ensure accuracy and completeness prior to distribution or filing
- Accurately prepare and submit client intake forms
- Establish and maintain appropriate files and records for transactional matters
- Maintain control files of matters in progress and follow up to ensure that tasks are completed according to deadlines
- Utilize standard naming and profiling conventions when scanning, emailing, and saving documents to the document management system
- Update contact records in Outlook and firm databases
- Periodically request pre-bills and statements for billing purposes and prepare statements for signatures and send out
- Routinely review and follow-up on client deadlines and calendar appointments
- Coordinate arrangements for meetings (i.e., closings, client meetings, contract negotiations, etc.) and attorney travel
- Assist with completing and tracking CLE compliance, presentations, and training programs, and organizing all other non-billable activities
- Answer telephone, take messages, provide information, and receive information concerning matters related to the legal work handled by the assigned attorneys
- Prepare and send faxes, documents, mail, certified mail, overnight mail, FedEx packages, and interoffice mail
- Must have the ability to master skills specific to the assigned practice group including tasks such as correspondence, spreadsheets, reports, and other transactional documents
- Provide assistance to legal and non-legal personnel as requested
- When applicable, serve as a Notary Public
- Other duties as assigned
REQUIREMENTS
Education: High School Diploma; Bachelor’s degree preferred
Experience: Prior experience as a legal assistant required; Transactional experience strongly preferred.
Knowledge, Skills, and Abilities:
- Demonstrated knowledge of legal terminology, legal documents, and processes related to transactional law
- Advanced computer skills including knowledge of MS Word, Outlook, Excel as well as document management systems, e-Filing and database software; NetDocs experience strongly preferred
- Ability to learn and adapt to new software programs
- Excellent oral and written communication skills
- Accuracy, attention to detail, and good organizational skills
- Ability to work effectively and proactively under pressure in a fast-paced environment
- Ability to coordinate multiple tasks concurrently and meet deadlines
- Strong client service focus and ability to work effectively in a team environment
- Demonstrated initiative, flexibility, resiliency, and ability to adapt to change
- Self-motivation and ability to work with minimal supervision
