Overview
A leading private investment firm is seeking a Document Control Associate to join its Boston office.
The Document Control Team is responsible for accessing and processing issuer and bank information in support of all investment deals. In addition to accessing the information, the team is responsible for the timely processing and distribution of all information to internal analysts and portfolio managers. Finally the function is one of the primary sources of information for the firm restricted lists.
Key Responsibilities
Determining the public or private status of an issuer and assisting with updates and changes.
Receiving and supplying notice of bank loan deal opportunities to Investment Staff.
Manage deal site access status and restrictions.
Coordinate legal reviews of key documents.
Accurately communicating issuer information to Investment Staff and Trading Desk.
Updating bank loan, credit agreement and amendment reports.
Tracking deals from meeting to close dates for the Trading Desk (Pipeline Report).
Process Confidentiality Agreements for potentials deals.
Organizing and completing deal amendments, prepayments and waivers.
Creating and updating iManage information pages.
Research into company/issuer affiliations.
Coordinate and process amendments to credit agreements and corporate actions
Works closely with Investment Staff, Trading Desk and Legal Team.
Liaise with Legal Team and Trade Closers to assist with the Know Your Customer (KYC) process.
Skills, Knowledge & Experience
Technical & Compliance
0 to 2 years of experience required. Previous work experience in specific compliance functions, including: Control Room; Ethical Walls; or related functions a plus.
Prefer experience from an investment bank or investment management firm.
Proficiency in Microsoft Office products (Access, Excel, Outlook, Word).
General
Detail-oriented, conscientious and energetic professional with ability to think creatively.
Dedicated team player with a strong sense of ownership and follow-through skills.
Ability to prioritize responsibilities and work under deadlines.
Ability to read and classify complex legal documents.
Capacity to handle highly confidential and sensitive information.
Knowledge of fixed income and credit markets is a plus.
Strong interpersonal skills with capacity to interact with outside parties and personnel across all levels of the firm.
Strong problem-solving skills.
Undergraduate degree required.
