We are searching for a Legal Administrative Assistant to join our dynamic and fast-paced legal team. This position is ideal for an individual with a strong background in legal administration, who thrives in an environment where they can showcase their exceptional organizational, communication, and multitasking skills. This role involves a significant amount of responsibility and requires a candidate who can consistently meet deadlines, manage multiple tasks simultaneously, and maintain a high level of attention to detail.
Responsibilities:
As a Legal Administrative Assistant, you will be expected to:
1. Assist with the preparation and filing of legal documents, ensuring accuracy and adherence to established legal procedures.
2. Manage attorneys' calendars, schedule appointments and meetings, and ensure that all litigation deadlines are met.
3. Prepare for hearings and trials by organizing case files, coordinating with clients and witnesses, and preparing trial notebooks.
4. Enter attorney billable hours accurately and promptly into the time entry system.
5. Communicate effectively with clients, attorneys, and court personnel, maintaining a high level of professionalism and confidentiality at all times.
6. Conduct legal research as required and assist with various administrative tasks such as answering phones, maintaining office supplies, and managing client files.
7. Collaborate with other administrative staff to ensure the smooth operation of the office.
Qualifications:
The ideal candidate for the Legal Administrative Assistant position should possess the following qualifications:
1. A minimum of 3 years of experience as a legal administrative assistant, legal secretary, or similar role in a law firm.
2. Proficiency in electronic filing (efiling) systems and experience with calendaring litigation deadlines.
3. Strong knowledge of legal terminology and procedures, with a particular focus on litigation.
4. Excellent organizational and time management skills, with the ability to prioritize tasks effectively and meet tight deadlines.
5. Strong written and verbal communication skills, with the ability to interact professionally with clients, attorneys, and court personnel.
6. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal research software.
7. Experience with time entry systems and entering attorney billable hours.
8. Ability to work independently, as well as part of a team, and demonstrate initiative in improving processes and procedures.
9. High level of attention to detail and accuracy, with the ability to handle sensitive and confidential information with discretion.
10. Bachelor's degree is strongly preferred.
