JOB SUMMARY:
The Legal Assistant will be responsible for providing full administrative support for Oxford's Legal Team. This position shall demonstrate a high level of organizational skills and attention to detail. Duties performed may include a broad range of complex tasks involving confidential or technical information.
JOB DUTIES:
Core duties and responsibilities include the following. Other duties may be assigned.
1. Provide day-to-day assistance with, and analysis of, commercial lease matters and administrative matters for internal customers. Assist with lease transactions, real estate acquisition and disposition, and financing transactions.
2. Maintain calendars, schedule meetings, process legal billing and time entries, and assist with scheduling and prioritizing tasks.
3. Perform lease administration functions, including:
a. Tracking and maintaining the Legal Department’s lease and contract documentation systems.
b. Preparing, updating, and reviewing lease summaries.
c. Maintaining critical date schedules.
4. Provide communications support for the legal department by answering mail, phone, and email messages, responding to inquiries, and assisting callers.
5. Ensure deadlines are met and materials are received in a timely manner by maintaining and/or implementing necessary calendars and filing systems.
6. Organize and maintain legal file systems, documents, and forms.
7. Assist with drafting, proofreading, redlining and revising offers, leases, lease amendments, other lease-related agreements, purchase and sale agreements, and closing documentation.
8. Assist with real estate due diligence and prepare various tenant correspondence.
9. Assist with additional tasks or projects as necessary.
SUPERVISORY RESPONSIBILITIES:
This job has no supervisory responsibilities.
JOB REQUIREMENTS:
1. Associate degree and 1-3 years related experience, or equivalent. Previous administrative experience required.
2. Leasing and/or commercial real estate experience a plus, but not required.
3. Ability to multi-task while maintaining strong attention to detail.
4. Excellent time management, organization, and prioritization skills.
5. Strong verbal and written communication skills; ability to correspond in a professional, businesslike manner.
6. Ability to handle highly confidential information with sensitivity and professionalism.
7. Ability to be flexible, motivated, resourceful and organized to work in a multi-functional role.
8. Sophisticated drafting skills with strong organizational and analytical abilities, as well as diligent proofreading skills.
9. Working knowledge of Microsoft Office (Outlook, Word and Excel).
10. Perform all job duties with a positive attitude.
PHYSICAL REQUIREMENTS & WORKING CONDITIONS:
Employee will be regularly required to sit, use hands to handle or feel, and talk or hear. Employee will be frequently required to ascend/descend multiple flights of stairs, reach with hands or arms, and occasionally navigate uneven terrain by foot. Employee is occasionally required to sit or stand; walk and stoop, kneel, crouch, or crawl. Employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, and depth perception. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Normal working office conditions in an open setting. Noise level in this work environment is usually moderate.
