As part of the Human Resources team, the Leave Administrator (LA) will report to the Associate Director, Human Resources and work closely with HR Specialists, HR Coordinators and Getty’s in-house employment counsel. The LA will manage all aspects of the employee leave of absence processes, including the administration of Family and Medical Leave Act (FMLA), California state-specific leaves, and other company-specific leave policies, in addition to coordinating with Getty’s Risk/Insurance department on workers’ compensation leaves. The role requires maintaining up-to-date knowledge of all government and state regulations and laws, outstanding communication, excellent organizational skills, and the ability to handle sensitive information confidentially.
The LA will administer the entire leave of absence process for employees, gathering necessary documentation and ensuring compliance with all applicable laws and company policies. This role involves coordinating with employees, supervisors and management to facilitate leaves of absence, including medical leave, family leave, accommodations and other types of leave. The LA ensures accurate record-keeping and provides support and guidance to employees throughout the leave process.
Major Job Responsibilities:- Administer and process all employee leave of absence requests, including FMLA, ADA, disability, military leave, personal leave, and other types of leave.
- Monitors and tracks absences status, documentation and return to work dates.
- Coordinates with HR Specialist and/or department manager to evaluate modified work or work schedules, as needed.
- Ensure compliance with federal, state, and local laws, as well as company policies regarding leave entitlements and protections.
- Serve as the primary point of contact for employees and managers regarding leave-related inquiries and issues.
- Educate employees and managers on leave policies and procedures, providing guidance and support throughout the leave process.
- Ensure timely, accurate and consistent communication with employees regarding the status of their leave requests, required documentation, and return-to-work procedures.
- Provide clear and concise communication to employees about their rights and responsibilities under various leave policies.
- Coordinate with colleagues, including those in Human Resources, Payroll and Benefits to manage the financial and benefit implications of employee leaves.
- Collaborate with colleagues in HR and Legal as needed to manage complex leave cases.
- Maintain accurate records of leave requests, approvals, and denials, and ensure all documentation is complete and securely stored, in accord with CA, Federal and/or Getty requirements.
- Monitor changes in leave-related laws and regulations and update colleagues.
- Assist with and/or recommend policy and procedures design or revision; maintain forms and letters to ensure compliance and consistent communication.
- Prepare and analyze reports on leave usage and trends and provide recommendations for improving leave management processes.
- Provide clear and concise communication to employees about their rights and responsibilities under various leave policies.
- Assist employees in understanding their leave benefits and any applicable return-to-work procedures. May assist employees in completing State-required documentation in order to receive California SDI or PFL benefits.
- Coordinate with managers to facilitate a smooth transition for employees returning from leave, including accommodation requests and job modifications.
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
- At least 4 years of experience in leave administration, benefits administration, or a related HR role.
- In-depth knowledge of FMLA, ADA, and California’s SDI, PFL, CFRA and other relevant laws and regulations. General understanding of California workers’ compensation a plus.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive and confidential information with discretion.
- Proficiency in HRIS and Microsoft Office Suite (Excel, Word, PowerPoint).
- Exceptional problem-solving and decision-making skills.
- Attention to detail and accuracy in record-keeping.
- Ability to manage multiple tasks and changing timelines.
- Understands the importance of collaborating with colleagues and other business units to ensure the efficient management of leaves.
