The Administrative Assistant Level II, also known as the Lead Office Management Specialist, will support daily office functions and ensure efficient operations. This role requires exceptional organizational, communication, and customer service skills, along with the ability to independently manage tasks and lead junior administrative staff. The ideal candidate is a proactive problem-solver, able to adapt to changing needs and deliver high-quality service in a government office environment.
Key Responsibilities:
- Perform all tasks associated with the Administrative Assistant II/OMS role, providing coverage as needed.
- Train new Admin I and Admin II OMSs on all aspects of their positions, ensuring thorough understanding and capability.
- Deliver excellent customer service, including conducting customer needs assessments, meeting quality standards, and evaluating satisfaction.
- Demonstrate a proactive approach to problem-solving, with strong decision-making capability.
- Serve as a highly resourceful team player while remaining effective independently.
- Plan, schedule, and conduct projects and studies to evaluate and recommend improvements in work operations efficiency.
- Exhibit exceptional interpersonal skills, maintaining a pleasant and professional demeanor at all times.
- Represent the office with a high level of professionalism in daily business activities.
- Perform additional tasks, assignments, and duties as required and assigned by the immediate Government manager.
Qualifications:
- High School Diploma required; college degree preferred.
- Three to five years of experience working in an office environment required.
- Timekeeping and Travel experience required.
- E2 travel system & WebTatel experience preferred.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, SharePoint, Teams, and Outlook).
- Ability to produce mistake-free final forms, such as letters, memorandums, cables, speeches, and briefing papers.
- Strong organizational, communication, and customer service skills.
- Experience working as a team lead or in a similar capacity.
- Ability to guide and oversee junior Office Management Specialists (OMS) to ensure comprehensive training and timely, accurate task completion.
- Flexibility to adapt to changing office needs.
- Ability to work effectively both independently and within a team.
