Job Description:
As a Law Firm Receptionist, you will be responsible for providing outstanding front desk service and administrative support. Your role is essential in creating a welcoming environment and ensuring smooth day-to-day operations within the firm.
Key Responsibilities:
- Client Interaction: Greet and welcome clients, visitors, and vendors in a professional and friendly manner.
- Telephone Management: Answer, screen, and direct incoming calls to the appropriate personnel. Take and relay accurate messages as needed.
- Appointment Scheduling: Manage and coordinate appointment schedules for attorneys and conference rooms.
- Document Handling: Receive, sort, and distribute daily mail and deliveries. Assist with the preparation and processing of legal documents and correspondence.
- Administrative Support: Provide general administrative and clerical support, including data entry, filing, opening cases, running conflict checks, and maintaining office supplies.
- Client Assistance: Assist clients with inquiries, provide basic information about the firm, and ensure they are comfortable while waiting.
- Office Coordination: Maintain a clean and organized reception area. Ensure all office equipment is functioning properly. Assist with firm events.
- Confidentiality: Handle sensitive information with the utmost discretion and in compliance with legal and ethical standards.
Education:
High school diploma or equivalent required. Associate or bachelor's degree preferred.
Experience:
Previous experience as a receptionist or in a customer service role, preferably in a law firm or professional services environment.
Skills:
- Excellent verbal and written communication skills.
- Strong organizational skills and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with practice management software such as Centerbase, Tabs, Clio, etc.
- Ability to remain calm and composed under pressure.
- Strong attention to detail and problem-solving skills.
