The Assistant Property Manager works closely with General Manager in the daily operations and financial performance of the assigned retail portfolio.

Essential Job Functions
Operational Duties
- Assists in the day-to-day operations of the properties.
- Serves as a liaison to tenants, vendors and contractors, always providing professional and friendly service in all forms of communication.
- Primary contact for commercial tenants, working directly with them to resolve issues and involves General Manager in escalated or more complicated issues.
- Prepares and updates move in/move out checklist and related processes including parking, insurance, mailboxes, keys, welcome gifts, coordinates utility transfer of service, and welcome letters.
- Maintains and updates property/tenant/vendor contact information in required documents and database systems.
- Dispatches maintenance staff and security as needed, and maintains work orders to include assignments, reports, tenant calls and follow-up.
- Oversees and maintains tracking vendor contracts, including tracking invoices against scopes of work and tracking progress payments.
- Ensures current tenant and vendor certificates of insurance.
- Assists the maintenance department with facilitating preventative maintenance programs.
- Conducts follow-up with vendors and contractors as needed.
- Provides administrative support to all team members and drafts correspondence, memos and reports.
- Assumes additional responsibilities and performs special projects as needed or directed.
Financial Duties
- Posts rent charges, sends out monthly rent statements, and updates rent rolls monthly.
- Deposits and posts all rent and other payments into appropriate bank and Yardi.
- Charges tenant late fees and interest when required pursuant to the terms of the lease.
- Codes and enters invoices in Avid & Yardi and works with accounting team to ensure timely payment of invoices.
- Responsible for routine accounts receivable work and involves the General Manager in more challenging collection efforts.
- Assembles monthly financial reports for review.
- Prepares tenant billbacks for review, posts charges and provides back-up when requested.
- Assists with accounting matters related to common area maintenance expenses, taxes and insurance estimates, annual and other reconciliations, and periodic audits.
- Assists with monthly review of financials and prepares variance comments for the monthly financials.
- Assists with preparation of the annual budget.
- Assists with ongoing process and procedure documentation.
- Responsible for various types of data entry including tenant sales.
- Assumes additional responsibilities and performs special projects as needed or directed.

While performing the duties of this job, the employee is regularly required to talk and hear. This position is rarely active but may require standing, walking, bending, kneeling, stooping and crouching. The employee must frequently sit and use a computer for long periods of time. Specific vision abilities are required to do this job including close vision. The employee must sometimes lift and/or move items up to 25 pounds. The employee must be able to drive for short to moderate distances and/or times. The employee must often walk through the outdoors and various terrain environments. The employee may be required to access building roof and mechanical areas via stairways or access ladders.
Education and Experience
- Must be able to work in a fast-paced work environment balancing multiple projects/tasks and consistently meet deadlines.
- Must have a minimum of two (2) years in property management, with retail (preferred) and/or commercial experience required.
- Must have some exposure to and interest in property accounting, specifically, recovery (triple net) calculations and reconciliations or equivalent accounting experience.
- Must have excellent written and verbal communication skills.
- Must be able to work effectively with other management personnel, tenants, co-workers and vendors.
- Must have excellent organizational skills, attention to detail, and ability to be self-directed.
- Must be pro-active and results oriented with a professional appearance and attitude.
- Accurate keyboard skills and experience with various office equipment/machines required.
- Computer literacy required. Proficiency in preparing Word documents, Excel spreadsheets, and Outlook required.
- Experience with property management software including Yardi, Avid or equivalent accounting programs preferred.
- Must have a high school diploma or demonstrated industry experience. A college degree is preferred.
- Valid drivers' license, sound driving record and auto insurance required.
