Summary:
We are seeking a detail-oriented and organized IT Vendor Management Associate to join our team. The role focuses on administrative support for the IT Vendor Management Office (VMO), particularly in contract review, processing, and vendor relationship optimization. The ideal candidate will have exceptional soft skills, a strong work ethic, and proficiency in managing multiple tasks efficiently.
Key Responsibilities:
- Assist in managing vendor contracts, ensuring all documentation is accurate, up-to-date, and compliant with company policies.
- Maintain and update vendor databases, including contact information, contract details, and performance metrics.
- Coordinate and schedule meetings between vendors and internal stakeholders.
- Prepare and distribute reports on vendor performance, contract status, and other metrics.
- Perform administrative tasks such as filing, data entry, document management, and ticket triaging.
- Respond to vendor inquiries and escalate issues to the IT Vendor Manager when necessary.
- Support the development and implementation of vendor management policies and procedures.
- Track vendor compliance with service level agreements (SLAs) and other contractual obligations.
- Work closely with the Legal, Procurement, Risk, and IT Finance teams to ensure timely contract reviews and processing.
- Manage the internal ticket system by assigning, triaging, reviewing, sending for signature, uploading documents, and closing tickets.
Qualifications:
- Education: Bachelor’s degree in business administration, Information Technology, or a related field (preferred).
Technical Skills:
- Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
- Experience with ServiceNow, Power BI, Ariba CLM, and/or DocuSign is a plus.
Soft Skills:
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Acute attention to detail and accuracy in data entry and document management.
- Ability to work independently and as part of a team.
- Fast learner, driven, reliable, and proactive in identifying and pushing for process improvements.
Knowledge:
- Familiarity with IT concepts and terminology.
- Understanding of contract management and procurement processes, including contract types such as RFI, RFP, MSA, Subscription Agreements, and License Agreements.
Preferred Skills:
- ServiceNow: At least 1 year of experience.
- Power BI: At least 1 year of experience.
- DocuSign: Familiarity with 1-2 years of experience.
Compensation:
The pay rate range above is the base hourly pay range that Aditi Consulting reasonably expects to pay someone for this position (compensation may vary outside of this range depending on several factors, including but not limited to, a candidate’s qualifications, skills, competencies, experience, location and end client requirements).
