Job Title: Remote IP Legal Assistant
Position Type: Full-time, remote
Overview:
We are seeking a detail-oriented and self-sufficient individual to join our team as an IP Legal Assistant. In this role, you will provide comprehensive support to our intellectual property attorneys while also assisting other partners and departments within the legal support team. The ideal candidate will thrive in a fast-paced environment, possess prior law office experience, and demonstrate strong collaborative skills.
Key Responsibilities:
Patent Prosecution Support:
Prepare patent prosecution documents for attorney review and client submission.
Organize and file documents with the USPTO, ensuring compliance with attorney instructions.
Draft reporting letters for Office Actions and other filings as required.
Document Management:
Create, edit, format, and proofread legal documents using Microsoft Word, Excel, iManage, and Adobe Acrobat.
Compose routine correspondence and emails to attorneys and clients, maintaining accuracy and professionalism.
Client Communication and Invoicing:
Assist in preparing and sending invoices to clients.
Acknowledge and manage incoming client correspondence promptly and efficiently.
Data Management and Coordination:
Upload/download patent-related documents and data to/from client systems.
Obtain and exchange information with clients, external counsel, and vendors to facilitate legal matters.
Quality Control and Assistance:
Perform quality control checks to ensure work products are error-free.
Provide backup secretarial support to partners, associates, and other staff as needed.
General Administrative Tasks:
Undertake other administrative duties and project assistance as assigned.
Qualifications:
Prior experience in a law office setting is preferred.
Strong organizational skills and attention to detail.
Ability to work effectively in a remote, collaborative environment.
Proficiency in Microsoft Office Suite, iManage, and Adobe Acrobat.
Excellent written and verbal communication skills.
