IP Billing Specialist – Legal – Boston, MA
We are seeking candidates for an IP Billing Specialist position with a large Intellectual Property Law Firm based in Boston, MA. The position requires strong knowledge of law firm billing practices, managing monthly workflows, and collaborating with collections specialists to resolve outstanding issues. The ideal candidate 8+ years of law firm billing experience, preferably in IP billing.
This is a permanent position that will pay $100-105k on a base salary. This position is required to be onsite 1 day/week in the Boston, MA office.
Responsibilities:
- Handle IP billing using Aderant software (experience with Aderant is essential).
- Distribute and organize relevant billing reports.
- Edit attorney time entries and prepare invoices for designated attorneys.
- Identify, address, and resolve billing discrepancies in line with client standards and firm procedures.
- Leverage knowledge of law firm billing and the patent process to prepare and distribute draft and final billing reports and client invoices.
- Ensure invoices are submitted accurately and on time, consistently meeting billing deadlines.
- Research and follow up on client or vendor rejections.
- Communicate effectively with clients or firm staff to clarify billing or timekeeping details as needed.
- Proactively manage monthly workflow to ensure timely completion by coordinating tasks.
- Collaborate with Collections Specialists to resolve outstanding issues and reissue invoices when necessary.
- Process billing through electronic systems, including eHUB, for successful invoice submission.
- Provide prompt follow-up on rejected invoices.
- Generate and maintain e-billing reports.
- Bachelor's degree in a business-related field is preferred.
- Minimum of 8 years of law firm billing experience required, with a preference for IP billing experience.
- Proficiency in Aderant accounting software is essential.
- Strong skills in Microsoft Office Suite, particularly Excel, and familiarity with meeting platforms like Microsoft Teams and Zoom.
- Ability to interpret complex billing arrangements and accurately format them for e-billing.
- Highly detail-oriented with a focus on accuracy.
- Capable of working independently with minimal supervision.
