The Investments Administrator, reporting to the EVP-Chief Investments Officer (CIO), partners closely with senior leadership teams to monitor and/or positively influence the pulse of the Investments group. This position performs a wide variety of duties, such as: creating and maintaining project tracking spreadsheets, analyzing project related information and presenting findings to facilitate informed decision making; preparing executive-level presentations; and proactively generating new ideas and actions that help improve collaboration with all of the various Investments operations. The Investments Administrator is a business savvy professional who understands how to interact with all levels from individual contributors to key leaders to the Executive Committee and/or members of the Board of Trustees. Additionally, the Investments Administrator provides broad administrative support to the CIO and the greater Investments organization (including Acquisitions, Dispositions, Development, Investment Officers, Market Research, Sustainability, Renovation and Retail teams).

WHAT YOU'LL DO
- Ensures the Investments leadership team can effectively execute on its objectives and new initiatives and has relevant and reliable information on which to base business decisions.
- Partners closely with the CIO and his/her direct reports to monitor and/or positively influence the pulse of the Investment Officers, Development, Acquisitions, Retail and Sustainability teams by researching and responding to incoming issues and concerns, including those of a sensitive or confidential nature.
- Serves as a project manager on independent projects as well as project team member on cross-functional project teams to ensure the successful tactical execution.
- Manages the Executive Committee and Board Approval Process of deals including tracking the deals, coordinating dates and agendas for meetings, updating the disposition list on Equity Residential’s website, setup and distribution of Investment Committee and Board materials. Extracts data from various internal databases and systems such as Essbase, MRI, and Business Intelligence.
- Supports Senior management’s employee engagement efforts across the company, by focusing on key drivers and related activities of employee recognition and retention goals and Equity values: Total Wellbeing, Diversity and Inclusion, Social Wellbeing & Sustainability.
- Supports EQR Sustainability with project tracking, reporting and other functions, as needed.
- Edits, organizes, and creates meeting documents and presentations.
- Works collaboratively across EQR departments and functions to establish and update a strategic plan that maximizes value and enhances returns for every asset within the portfolio.
- Serves as the primary liaison with internal partners to develop scope, communications plans, and delivery of Investments group messages.
- Regularly posts and reviews Investments content on Equity Residential’s Intranet (ECHO) to ensure that it is relevant, accurate and meets team member needs.
- Tracks and coordinates charitable and political giving and activities in each of our markets.
- Provides Executive and Administrative Support to the CIO and Investments organization by:
- Completes a broad variety of daily administrative tasks, including but not limited to: managing calendar appointments, scheduling meetings, coordinating travel arrangements, and preparing expense reimbursement forms.
- Reconciles invoices for accurate payment.
- Serves as a key support for compiling materials for Equity’s earnings release calls which may include: making meeting arrangements, collecting, organizing, and analyzing reports, and follows up with internal business partners for additional information.
- Plans and coordinates interesting and creative periodic Investments team meetings which may be in-house or offsite. Gathers monthly announcements such as birthdays, work anniversaries, and new team members.
- Proactively supports internal customers by independently handling all general administrative tasks (maintaining files, copying, incoming mailings, and overnight shipments), responding to inquiries, troubleshooting issues and balancing the needs of multiple teams.
- Assists with the creation of administrative procedures.
REQUIREMENTS
- Bachelor's degree preferred, in addition to 3+ years of professional work experience.
- Must be in office in order to collaborate with team members and drive results a minimum of 3 days per week and more as required by business needs.
- Presentation skills (Powerpoint and Google Slides) to create and edit presentations are required.
- Must possess strong administrative and organizational skills, in addition to being detail oriented with good follow-up skills.
- Must possess excellent written and verbal communication skills. Thorough knowledge of grammar, punctuation, and spelling is required to ensure that all reports, communications, etc. are prepared in an accurate and professional manner.
- Must be able to work independently, be flexible, and act with a high level of confidentiality and discretion regarding personal information and executive decisions at all times. Self-starter, with a drive to succeed/excel.
- Must be able to be flexible with work hours, especially to meet key business deadlines.
- Demonstrated ability to schedule complicated travel arrangements.
