Job Details:General Summary
Under general direction, supports all efforts and administrative duties associated with the Internal Audit and Compliance functions.
Duties & Responsibilities:
- Under direct supervision, provides overall administrative and staff support for the Internal Audit and Compliance departments. Schedules meetings, maintains calendars, manages travel reservations and expenses, prepares documents, distributes reports, etc.
- Under direct supervision, assists in the administration of certain compliance and certification programs for the Company. Tasks may include:
- Compiling quarterly certification summaries
- Reviewing policy disclosures and following up on potential conflicts of interest
- Reviewing whistleblower hotline submissions, emails, and phone calls
- Monitoring exception reports
- Performing due diligence procedures
- Alerting the VP of any potential violations or suspicious activity
- Serve as the administrative liaison with others within and outside the company regarding administrative topics related to purchasing, billing, personnel, facilities, and operations
- Monitors monthly expenses and tracking of departmental budgets. Processes invoices, including billing for third party auditors
Knowledge, Skills, & Abilities:
- Strong customer service skills
- Intermediate spreadsheet, word processing and presentation application skills
- Ability to communicate effectively with various departments and at various levels throughout the company (both written and oral communication)
- Detail-oriented with strong organizational skills to balance priorities and meet deadlines with minimal supervision
- Ability to handle confidential matters appropriately
- Highly motivated and dependable with the flexibility to work on multiple tasks simultaneously in a fast-paced environment
Work Experience &/or Education:
High school diploma required. Bachelor’s degree preferred. At least 1-2 years administrative experience required. Past experience with compliance and/or internal audit functions desirable.
