RESPONSIBILITIES
I. Reception Operations
- Receive telephone calls and visitors to the office
- Control access to the office and ensure that only properly cleared visitors are authorized entry
- Notify staff members of visitors or incoming telephone calls
- Take messages from and give messages to visitors and callers when staff members are unavailable
- Respond to inquiries and provide general information regarding office programs
- Advise callers or visitors to contact appropriate agencies and provide contact information when available
- Coordinate all reception tasks with student clerks if available
- Maintain multiple calendars for the government vehicle, conference rooms, and reception coverage
- Update listings and directories as needed
- Receive, review, and distribute incoming mail (e.g., FedEx, DHL, UPS, and private couriers)
- Maintain miscellaneous numerical and alphabetical files to check correspondence for unfamiliar material received
- Annotate mail as required (e.g., attorney assigned, case number, etc.)
- Ensure that mail received from other agencies is screened and distributed appropriately
- Notify staff immediately upon receiving faxed materials and place them in the appropriate internal mailbox
- Receive and verify all supply deliveries and library books
- Send timely notifications of deliveries to appropriate administrative personnel
- Scan and upload procurement and inventory documentation to the appropriate system and data categories
- Perform case management duties through the automated case tracking system (e.g., open, update, and close cases)
- Search databases for required information as necessary
- Prepare Financial Litigation Unit (FLU) checks received by mail daily and forward them to the appropriate division
- Safeguard checks not forwarded on the day of receipt due to lateness of arrival
- Review fuel receipts with General Services Administration (GSA) Fleet Management to mitigate fraud, waste, and abuse
- Update and verify Government-Owned Vehicle (GOV) fuel and travel logs
- Maintain logs for “Home-to-Work” requests, repairs, and service work on GOVs
- Use Microsoft Office software programs (e.g., Word, PowerPoint, Excel, and Outlook)
- Produce a variety of written documents using advanced word-processing software functions
- Create, copy, edit, insert, delete, and move text within a single document or between electronic word-processing files
- Store, retrieve, and print documents requiring complex formats (e.g., graphics or tables within text)
- Ensure that documents are in the proper format and verify spelling, punctuation, capitalization, and grammar
- Consult with document authors to resolve questionable material
- Maintain an up-to-date telephone listing and card file of addresses of departments and agencies
- Obtain address information from letters and faxes that arrive in the office
- Maintain telephone recording equipment and prepare recorded greetings
- Activate off-duty telephone answering machines as required
- Playback and transcribe messages regularly
KNOWLEDGE & SKILLS
- Ability to manage directories, personnel lists, and guides to provide office information and refer inquiries appropriately
- Skill in meeting and dealing with people in a courteous and tactful manner
- Skill in operating a telephone switchboard system
- Skill in operating a computer terminal, personal computer or electronic typewriter to produce a wide range of documents
- Skill in entering data correctly into agency-specific computer programs (e.g., USAO)
- Proficiency in Microsoft Office programs (e.g., Word, PowerPoint, Excel, Outlook, etc.)
- Excellent written and oral communication skills
BACKGROUND
- Two (2) years of experience in a professional office environment required
- Proficient typing skills (e.g., typing at a speed of 50 WPM or more with high accuracy) required
- A valid driver’s license required
- Customer service experience preferred
- Detail-oriented and organized
EDUCATION
- High school diploma or equivalent required
- Bachelor’s degree preferred
