WHAT YOU'LL BE DOING
The Imports & Exports Specialist is a liaise between customers and suppliers daily to arrange freight collection, sort out any problems and ensure that bookings do not exceed allocations.
- Supports and backs up the trading team, providing guidance and support, as well as covering for time off.
- Exports Sales, processing documentation and working with freight forwarders. Understanding incoterms, transloading, source loading, shipments shipping via container or boxcar.
- Processes Sale and Purchase contracts for domestic, imports and vendors. Handle the transactions and documentation from beginning to end and work through any supply chain challenges.
- Provides excellent customer service to our customers and vendor including shipment notification and all necessary paperwork invoicing and payables.
- Develops and maintains strong relationships with customers and vendors, providing exceptional service and addressing concerns including shipment notification and all necessary paperwork invoicing and payables.
- Supports our sister companies, process sales, purchase contracts, invoicing, payables and assists them with problems.
- Processes sales, releases for industrial and canner accounts.
- Works closely with operations to determine shipping schedules out of our bulk facilities.
- Collects documents for export invoicing.
- Reconciles Sales and Purchase contracts.
- Works with accounting to close month end and year end. Checking reports to ensure all invoicing and payables are processed for the month.
- Coordinates outbound truck and rail shipments with Operations Group.
- Acts as liaison with operations and IT to identify and correct errors in the computer system.
- Works closely with the traffic team to ensure import and exports loads are shipped and picked up on a timely basis.
- Analyzes processes data and identifies opportunities to improve processes and performance.
- Stays current with industry trends, regulations, and technologies to enhance trading strategies and methods.
- Fosters a culture of teamwork, innovation, and customer-centricity among the trading team.
WHAT WE NEED
REQUIRED EDUCTATION AND EXPERIENCE:
- High school diploma, GED, or equivalent required.
- Minimum two to three (2-3) years’ experience relevant to Trade Coordination shipping or logistics required.
- Knowledge of the transportation industry, including Department of Transportation Rules and Regulations required.
- Strong knowledge of domestic and international shipping laws.
- Intermediate proficient in MS Excel, Word, Outlook, and Access.
- High-level attention to detail.
- Good problem solving and decision-making skills.
- Ability to calculate figures and amounts, such as discounts, cwt's, and percentages.
- Must be able to work well in a self-managed team environment.
- Comfortable interacting with all levels of the business and customers to deliver results in a fast- paced environment.
- Must be able to establish relationships with suppliers and customers.
- Strong organizational, problem-solving, and analytical skills.
- Ability to maintain a high level of confidentiality.
- Strong communication and interpersonal skills.
PREFERRED EDUCATION AND EXPERIENCE:
- A bachelor’s degree or equivalent experience preferred.
WORKING CONDITIONS:
- The physical environment requires the use of general office equipment (computer, printer, scanner).
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Required to use personal protective equipment as needed.
- Travel may be required.
