Position Summary
The Implementation Specialist supports external clients through software and product installation and implementation of new customer onboardings or existing customers for complex deployments. The IS will gather customer requirements for planning, developing scope of works for the project, and executing on the deployment. They will create project rollout schedules that meet the needs of the customer and business. The IS will work with internal teams to complete delivery of the solutions in a timely manner that meets or exceeds customer expectations. The IS will ensure that communication is maintained between all stakeholders throughout the implementation, which includes communication with the clients, delivery partners, technicians, and warehouses. They will create dashboards to give high level visibility of the status on the implementation. For post-implementation, the IS will work to ensure equipment is reporting and equipment records are updated properly and added to customer contracts. The salary range for this role is $57,000-$63,000.
Essential Functions and Responsibilities
- Define project scope, goals, and deliverables that support business goals in collaboration with management.
- Effectively communicate and work with stakeholders, peers, and other technical teams to set internal expectations and maintain appropriate implementation project scope.
- Successfully communicate project status with stakeholders to ensure a positive implementation. experience for the customer and escalate issues while maintaining ownership of the implementation.
- Create dashboards for implementation status and provide weekly updates to stakeholders.
- Create project plans through Smartsheet.
- Maintain relationships with stakeholders, schedule, and lead stakeholder meetings.
- Set up sales orders for customer equipment orders, lease returns, and inventory transfers.
- Update equipment records information in database.
- Work with FTG partners and/or out of area partners to ensure that equipment and technical personnel are effectively coordinated to be on-site for implementation.
- Create scope of work and share with installing partners.
- Assist with fulfillment and invoicing of cash sales orders.
- Schedule equipment inspections for multi-function devices.
- Schedule tag and takeovers with internal service management and/or out of area partners.
- Manage warranty swaps – defective devices that are new out of box.
- Monitor E-auto warehouse for inventory accuracy.
- Coordinate Hard Drive shredding and removals.
- Request pick-ups of equipment for lease returns and/or disposals that are part of the existing deal.
- Save all essential deal documentation in document management software.
- 10% out-of-state travel may be required.
- Other tasks and projects as assigned.
Qualifications and Experience
Minimum Qualifications:
• Experience in Microsoft Word, Excel and Outlook required.
• 1+ years’ experience in project management and/or implementation role.
• Strong customer service skills and experience required.
• Excellent attention to detail.
• Desire to learn, grow, and develop.
• Strong problem solving, decision-making abilities; ability to anticipate problems and create solutions.
• Capacity to prioritize, manage, and organize workload in a fast-paced environment.
• Solid written and verbal communication skills.
• Exceptional interpersonal skills with ability to understand process dependencies and relationships.
Preferred Qualifications:
• 3 years’ experience in project management and/or implementation role.
• 1 year industry related experience.
• Great understanding of stakeholder management and ownership and applying it in the work context.
• Excellent executive-level communication and presentation skills.
