About the Job
POSITION RESPONSIBILITIES:
- The Coordinator provides daily administrative support services on a variety of immigration-related matters for international faculty, researchers, staff and students, working under the direction of the Manager of the Office of International Services (OIS).
- Meets with all international visitors: Students, Scholars and Staff and provides guidance on issues relating to the maintenance of their legal status, travel, extensions of stay and changes of status. Independently advises international population on complex issues such as:
- Optional Practical Training application: procedures, critical timelines.
- Communicating the procedures for continuation of eligibility for employment for all visa status (J/H/O/EAD). This requires knowledge of regulations for each category. Ensures that critical deadlines for applications are adhered to in order to preserve the individual’s legal status and their ability to continue employment.
- Provide information to international population on travel procedures. This requires constant review of U.S. Department of State updates on travel bans, Presidential Proclamations, allowable exemptions under the National Interest Exemption Policy and of course school policy.
- Provides guidance to Administrators and Faculty on sponsorship of Scholars and Staff: transferring from one institution to Einstein, feasibility of intended start date.
- Administers Einstein’s J-1 Exchange Visitor Program, holds the position of Alternate Responsible Officer in the Program.
- Communicates with Administrators and Faculty to clarify and confirm information for immigration documents.
- Prepares and issues Immigration documentation (J-1 visa eligibility documents), updates all data, using the SEVIS real-time interface.
- Responsible for the maintenance of all participant records and their dependents in the active database. At any given time, preparations are underway for anticipated arrivals. Ensure that participants meet the Department of State requirements for participation, such as medical insurance coverage, financial support, eligibility for dependents.
- Provides a timely J-1 list of active participants for the Benefits office to ensure all paid Scholars receive evacuation coverage per the U.S. DOL requirements and are removed from coverage upon departure.
- Reviews incoming documentation for F-1 students; prepares visa documents for new and transfer students into the MD and PhD program. Responsible for entering necessary information in the SEVIS system. Maintain all documents for students, updating all systems as necessary and ensuring accuracy of data.
- Assists with incoming applications for H-1B Temporary Worker visas as well as O-1 Visas for completeness. Communicates with sponsoring departments on items needed for applications.
- Assists with the DOL Labor Certification Application in the government site.
- Coordinates posting requirements with the Academic department.
- Compiles documents for review by the Manager of OIS and for the V.P. of Human Resources signature.
- Bachelor’s Degree required and 3-5 years’ experience required.
- Must be familiar with DHS regulations relating to students and be thoroughly familiar with the Exchange Visitor Program regulations, relevant immigration laws, and all federal and state regulations and laws pertaining to the administration of the exchange visitor program(s), including the Department of State’s and the Department of Homeland Security’s policies, manuals, instructions, and guidance on SEVIS and all other relevant operations.
