About the Job
The Medical Practice Manager oversees all of the daily administrative and business operations aspects of the medical practice, ensuring efficient workflows, compliance with regulations, and exceptional patient care. This role collaborates with supervisors, serves as the onsite HR liaison, and addresses concerns from staff, patients, and executive leadership.
Essential Duties and Responsibilities
- Departmental Oversight
- Establish, implement and regularly review workplace procedures
- Oversee all departmental and human resource management on a daily basis.
- Coordinate with supervisors regarding employee meal periods, breaks, and sick calls.
- Oversee departmental workflows and coordinate with supervisors to ensure proper allocation of daily work assignments
- Monitor medications inventory and medical equipment and ensure orderly resupply and preventive maintenance processes
- Oversee vendor review and selection and monitor vendor performance
- Supervise the biweekly review and approval of employee timecards.
- Manage approval/denial of Paid Personal Leave (PPL) requests with supervisors.
- Staff Management
- Conduct weekly/monthly supervisor meetings and monthly all-office staff meetings.
- Oversee continuing education and in-service needs for all employees.
- Address staffing needs, including hiring, onboarding, training, and corrective actions.
- Handle voluntary and involuntary employee terminations and offboarding.
- Conduct annual performance and pay rate reviews.
- Human Resources Liaison
- Maintain human resource files in collaboration with outsourced HR services.
- Act as the onsite HR contact for all employee-related concerns
- Establish human resource policies and procedures and ensure their communication and compliance
- Assist with determining employee health benefits and cost sharing levels between the practice and employees
- Marketing and Patient Relations
- Review marketing plans and materials.
- Oversee patient communication materials.
- Address and resolve patient complaints from various sources (e.g., phone, Epic, NRC).
- Office Safety and Compliance
- Perform quarterly safety inspections and resolve identified concerns.
- Supervise the Office HIPAA Officer and ensure regulatory compliance.
- Oversee Workers' Compensation reporting and claims.
- Manage malpractice claims reporting and oversight.
- Administrative Support
- Liaise with the Board of Directors, attend meetings, and prepare agendas and minutes.
- Generate and provide physician session tallies on a monthly basis to the Financial Officer
- Collaborate with the Controller and CEO on operational challenges and opportunities.
- Maintain records and provide updates on human resources issues to the Board.
Qualifications
- Education and Experience
- Bachelor's Degree in Healthcare Administration or related field preferred
- 5+ years of Managerial and Administrative Experience in a medical office or clinical setting.
- RN or other Clinical experience preferred
- Knowledge, Skills, and Abilities
- Strong understanding of HIPAA regulations and compliance standards.
- Exceptional leadership and interpersonal skills
- Demonstrated analytical and problem solving skills
- Financial and accounting knowledge
- Computer literacy and knowledge of relevant healthcare and administrative software.
- Proficiency in managing workflows and supervising staff in a medical environment.
- Ability to handle sensitive personnel issues with discretion.
- Experience with marketing plan evaluation and patient relations.
