Major/Essential Functions
The primary responsibility of the Texas Tech University Health Sciences Center (TTUHSC) Institutional Advancement (IA) Operations Manager is to assist the department with administrative, finance and operational duties. The IA Operations Manager will monitor transactions to ensure proper budget tracking and analyze data to keep the department informed allowing success and growth. This team member will collaborate with the Texas Tech University System (TTUS) Office for reporting and will serve as project manager for the development staff. This position will report to the Assistant Vice President of Institutional Advancement (AVPIA) and work closely with the External Relations Senior Director of Finance and Operations.- Embodies the Values Based Culture of TTUHSC by living out the university’s core values of One Team, Kindhearted, Integrity, Visionary, Beyond Service.
- Provides guidance to staff on all IA related policies across TTUHSC and TTUS including Regents Rules.
- Stay up to date with university policies related to gifts, sponsorships, sponsored research, and in-kind donations.
- Routing and tracking of gift agreements, assisting in fund management, drafting agreements and supporting documentation related to gifts of any kind, support IA budget tracking, responsible for check transmittal and routing process for deposits, serve as liaison to TTUS IA Gifts Processing staff.
- Manage budgets for IA Operations and Alumni Engagement. Work alongside AVP of IA and Sr. Dir of F&A for ER in budget tracking including updating budget projections and actuals regularly.
- Under the oversight of the AVP of IA, manage the TTUHSC IA gift acknowledgement process to ensure accuracy of letters sent to donors for their charitable giving.
- Work with Sr. Dir of Finance and Operations for ER and AVP of IA to monitor gift funds for all divisions, with an emphasis on monitoring spend down of scholarship funds. Work alongside Stewardship Coordinator to send out annual scholarship letters to donors.
- Assist IA staff with questions related to Cognos/Banner reporting, cash receipts, gift agreements and other gift related questions.
- Works with TTUS office to accurately pull reports (including event invitation lists, alumni email lists, donor email lists, etc.) from system donor/alumni database on an as needed basis.
- Work with TTUS office to ensure that all batch/mass upload data is accurately uploaded to the database as needed.
- Serve as main contact for the TTUHSC team and working with TTUS to update regular list of committees or affiliations in the donor/alumni database.
- Facilitate updates to portfolios in the database by working with frontline team members to update portfolios on a regular basis and providing updates to the TTUS team.

Preferred Qualifications
- Must have previous administrative experience.
- Previous experience with data analysis is desired.
- Previous experience in fundraising is a plus.
- Should be skilled in Microsoft Outlook, Word, and Excel. Working knowledge of basic office equipment.
