Payroll and Benefits Administrator at DMS East LLC

Direct Marketing Solutions is a multi-channel direct marketing company specializing in direct mail & digital marketing. We are looking for an experienced Payroll & Benefits Administrator to join our Corporate HR team.

The Payroll & Benefits Administrator (PBA) performs all activities necessary to prepare and process semi-monthly payrolls including reviewing approved timesheets, garnishments, and other special payroll deductions. The PBA also administers employee benefit programs and health & wellness initiatives in support of DMS’s benefits philosophy.

Essential Functions

PAYROLL ADMINISTRATION

• Prepares and processes semi-monthly payrolls, including post-payroll processes and reporting; enrolls/sets up employees for pay cards as necessary.
• Reviews and updates time and attendance data, follows up with record keeping requirements.
• Prepares and distributes various scheduled and ad hoc payroll and employee pay data reports monthly, vacation, semi-monthly salary report and monthly vacation liability reports.
• Process involuntary deductions such as levies and garnishments; ensures proper amounts are deducted from employee’s pay and distributed to designated recipient.
• Ensure payroll records reflect accurate benefit enrollment and employee deductions.
• Acts as primary contact for questions regarding the time and attendance system and for troubleshooting technical issues; monitors status of timeclocks, works with vendor and IT in response to outages.
• Stay current on related payroll administration trends and/or best-practice approaches and methodologies.
• Onboarding/Offboarding of employees
• Completes employment verification/UC claims.

BENEFITS ADMINISTRATION

• Processes enrollment and changes for all employee health and welfare benefits.
• Reconciles benefit statements and coordinates with accounting for payment of premiums.
• Serves as the primary liaison for company employee benefits with benefit plan carriers, providers, brokers, and government agencies as required.
• Responds to employee questions and issues regarding benefit programs and disability insurance. Works with carriers, providers, brokers to resolve issues.
• Reconciles monthly Workers Compensation report.
• Uses benefit feedback files (401k) to update payroll deductions and set up contributions after every payroll as required.
• Generates reports, researches questions, and issues, conducts employee benefit surveys as assigned, and provides information to carriers, providers, brokers, and management as requested.
• Directs preparation and regular distribution of informational literature and verbal presentations to notify and advise employees of eligibility for benefits programs.
• Coordinates and participates in benefits open enrollment.
• Works closely with benefit brokers and HR leadership to analyze company benefits policies, laws concerning mandatory insurance coverage, and data concerning prevailing practices among similar organization to establish competitive benefits programs.

Additional Responsibilities

• Completes additional assignments and special projects from the HR Director as needed.

• Learns and adheres to DMS rules and established policies for workplace health and safety.
• Adheres to all other DMS policies and procedures.
• Completes all required compliance training on time and in good faith.
• Works outside of regular business hours when necessary
• Passes required background check and drug screening.

Qualifications

• Experience processing payroll and administrating employee benefits using ADP or similar payroll/time & attendance software
• Strong computer skills, especially MS office (Word, Excel)
• Strong written and verbal communication skills
• Attention to detail and strong analytical skills
• Ability to maintain confidentiality and exercise appropriate discretion
• Excellent problem solving/judgment skills
• Strong organizational skills and ability to handle and prioritize multiple tasks to meet all deadlines.
