JOB DESCRIPTION
The duties and responsibilities of the position are to be carried out in a manner that is consistent with the goals, values and operating principles and in conformity with all laws and regulations governing the Bank. Every associate is to read and understand the policies and procedures of their department as well as those of the Bank to ensure smooth operations, satisfactory audits and examinations. Every associate is to conduct business relationships in a manner that will enhance the overall marketing effort of the Bank.
POSITION SUMMARY
The People Experience Assistant supports the Head of People Experience and People Experience Generalist in HR-related functions, such as, but not limited to, benefits, recruitment and selection, onboarding, off boarding, and records management.
Main focus will be: Recruitment/Onboarding e Data Analysis.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Recruitment & Selection:
- Initiate correspondence with Hiring Manager to identify needs for open position (job description, education, skills/requirements);
- Research existing files for qualifying candidates;
- Place electronic advertisement when needed for open positions; email selected candidates resumes to hiring managers for review;
- Conduct internal selection processes;
- Participate in interviews as necessary;
- Obtain Senior Management approvals for hiring, prepare offer letters;
- Contact candidates to present offers, coordinate completion of formal application, and process background checks;
- Compose emails to interviewed candidates not selected; and
- Keep files of all selection processes.
Benefits:
- Assist with maintaining accurate and up-to-date employee and benefit information in the HR systems by processing new enrollments, status changes, salary changes, and terminations within the proper timeframe;
- Assist with managing leave and paid time off programs in the HR systems, such as vacation, bereavement, sick, leave of absence, and disability;
- Assist with administering disability requests and paperwork, providing employees with proper forms and information;
- Assist with coordination of annual open enrollment, changes in coverage and reconciliation with benefit providers;
- Assist with coordinating COBRA and other benefits for terminated employees; and
- Assist with administering Workers Compensation claims.
Onboarding/Off-boarding:
- Prepare new hire package, create new hire access request;
- Coordinate and conduct new employee onboarding and include new employee in HRIS systems;
- Prepare paperwork and participate in terminations;
- Prepare severance packages and related paperwork;
- Create termination access request; and
- Inform relevant departments of new hires/terminations.
General HR:
- Prepare required daily, monthly, quarterly and annual reports as well as special reports as requested;
- Certify that time and attendance records are reviewed and approved by department managers in time for payroll processing;
- Assist in maintain current/signed job descriptions;
- Assist with overseeing sensitive vacation and ensure Sensitive employees comply with absence requirements;
- Assist with coordinating and ensuring completion of annual evaluations;
- Maintain personnel files up-to-date;
- Stay current with local, state and Federal HR laws, legislation, and trends, and maintain compliance with each;
- Provide daily support to personnel and leadership questions;
- Participate in the planning and execution of employee events;
- Assists in ensuring that staff members comply with safety and other applicable policies and procedures, laws, rules and regulations;
- Full knowledge and understanding of bank policies, procedures, regulatory and compliance requirements, including but not limited to BSA/AML, CDD, EDD, and others as defined by the Compliance Department;
- Attend and/or complete all required training as assigned;
- Communicate effectively with other Departments;
- Maintains department Procedures Manual and Employee Handbook as needed; and
- Perform other HR duties as assigned by management.
Endomarketing:
- Member of the Endomarketing Committee.
- Coordinate, prepare and execute all internal events (Holiday Party, birthday celebration, happy hour, social events);
- Develop and execute strategies to motivate employees
- Create Employee satisfaction survey.
- Prepare monthly newsletter.
- Create, prepare and execute all internal communication.
- Development of Annual Endomarketing budget proposal
- Responsible for purchasing and distributing gifts to all employees
ADDITIONAL DUTIES AND RESPONSIBILITIES
- Filing, copying, faxing or scanning of any departmental reports or materials; and
- Perform other related duties as required to accomplish the objectives of the position.
EDUCATION AND/OR EXPERIENCE
High school diploma or general education degree (GED) required; college degree preferred. One plus years of related experience; equivalent combination of education, training and experience may be considered.
Requirements:
- Recruitment/Onboarding e Data Analysis Experience
- Ability to effectively present information and respond to questions from directors, managers, clients (both internal and external) and the general public;
- Excellent ability to communicate in English and Portuguese, verbally and in writing; Spanish highly recommended, and in some departments required;
- In depth knowledge of all bank policies, procedures and compliance requirements;
- Must have the ability to organize and manage multiple priorities;
- Ability to ensure confidentiality, security and safekeeping of bank and personnel information;
- Is consistently at work and on time; Ensures work responsibilities are covered when absent;

Compensation / Pay Rate (Up to): $65,000.00 - $75,000.00 Per Year
