Hybrid Executive Assistant to CEO (1 DAY IN OFFICE) at C-Suite Assistants

A successful engineering software company that has been in business for 4 years is looking for an Executive Assistant to the CEO. The firm has 15 employees. The person currently managing the duties will train the new EA. The role is hybrid - 1 day in office, 4 days remote.

About the Job:

¨Track, analyze, and report key business metrics, such as quarterly OKRs, customer support resolutions, and hourly billable quotas, to ensure alignment with company goals.

¨Vet and prioritize the CEO’s emails

¨Prepare and edit correspondence, reports, and presentations

¨Facilitate seamless communication and coordination across teams to ensure efficient execution of projects and initiatives

¨Screen incoming phone calls delivering detailed, timely messages to the appropriate parties

¨Maintain an ever-changing calendar

¨Coordinate meetings, create briefings or draft agendas prior to important meetings, and ensure follow-up actions are tracked. Schedule using Calendly assist with time planning and rescheduling

¨HR duties: manage end-to-end sourcing, recruiting and hiring processes for open job positions, coordinate onboarding

¨Plan and organize team events, webinars, and meetups (both virtual and in-person).

¨Help prepare legal documents and contracts

¨Be the point of contact with attorneys and sales personnel

¨Coordinate complex travel arrangements including flights, cars, hotels, and other reservations

¨Process expense reports

¨Limited off-hour availability

About You:

¨Minimum of 5 years of experience in a similar role, operations, project management (startup or SaaS experience is a plus).

¨BA/BS from a college or university a plus

¨Able to work without a lot of direction

¨Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)

¨Polished, professional demeanor

¨Proactive go-getter; no task is too big or too small

¨Outstanding communication skills
