Job Overview
The Human Resources Specialist I is a key role in the Human Resources Department and ensures that administrative human resources processes are highly efficient and provides a highly engaging experience for both internal and external clients. The position reports to the Director of Human Resources and partners with line Managers and staff to ensure benefits information, onboarding/offboarding, employment compliance, training, staff events and other special projects are executed in a timely, effective and efficient manner. The Human Resources Specialist Iis responsible for managing the day to day combined operational, tactical and administrative segments of the department while providing high customer service deliverables. Key responsibilities include local, State and Federal employment compliance, benefits administration, onboarding/offboarding, planning Company wide engagement events, worker's compensation, partnering with line Managers and connecting with staff on various workplace topics. Must be a highly motivated and well organized self-starter that enjoys a front facing role. This position requires a high degree of sound and independent judgment, as well as confidentiality. This role will be based in Emeryville, CA.
Minimum Qualifications
- Bachelor's degree in Human Resources or Psychology with 2+ years of relevant experience of current human resources generalist work experience
- Previous HR experience in an environmental company (highly preferred)
- Proven track record of managing HR processes in a fast paced and highly technical environment
- Well developed communication skills both orally, in writing and presenting
- Ability to conceptualize new and emerging Human Resources legislation and assess the organizational impact
- Excellent interpersonal, client relations and persuasive skills
- Experience with managing administrative processes in an effective and efficient manner
- Ability to partner with the Talent Acquisition staff in managing the onboard/offboard and talent pool in an effective, efficient, compliant and compassionate manner
- Familiarity and passion for environmental causes (highly preferred)
- Commitment to achieving both individual, team, department and organizational goals
- Recent experience with ADP Workforce Now, MS Suite (Word, PowerPoint, Outlook and Excel)
- Ability to obtain human resources certification within six months of hire
- Ability to speak, read and write in Spanish (highly preferred but not required)
- Generate weekly, monthly, quarterly human resources reports
Roles and Responsibilities
General Human Resources Duties:
- Manage administrative HR processes in a timely, effective and efficient manner by planning and anticipating next steps
- Communicate HR actions and processes effectively with all levels of the organization in a clear, concise and proactive manner, both verbally and in writing
- Process new hire documentation in partnershipwith Talent staff
- Develop, build and maintain positive and responsive organizational relationships
- Participate in HR/Recruitment meetings to collaborate, learn new processes and exchange relevant information
- Assists with employment cycles, including but not limited to immigration documentation, leaves of absence, training and investigations
Compliance:
- Manage compliance administrativeprocesses in a timely manner
- Partner with the Quality team to ensure company wide compliance is culture driven and in adherence withthe SCS mission
- Ensure that the Company is timely with required employment posters, 300/300(a) filings and postings, I-9 documentation and audits, wage and hour notices, worker's comp, EEO report, COBRA management, sexual harassment online training, FMLA/CFRA tracking and requirements, HIPAA notices and other compliance requirements
- Partner with Director of HR to educate and communicatemessage out to line Managers and staff of new and emerging compliance related topics, legislation and issues both effectively and efficiently
- Prepare weekly, monthly and annual spreadsheets
- Acts as the Safety Coordinator responsible for the IIPP, accident prevention and monthly safety meetings
Benefits Administration and Partnering with Brokers/Vendors within specified timelines:
- Use HRIS and vendor systems to record, add and/or delete benefit changes in a timely manner
- Responsible for Open Enrollment process and administration
- Generate weekly, monthly, quarterly and annual benefits reports
- Partner with brokers/vendors to manage changes and negotiate benefit offerings and manage worker's compensation claims
- Manage overall benefits and worker's compensation administration using HRIS and vendor database systems in a confidential manner
Document, Update and Maintain Human Resources processes and personnel actions:
- Update and maintain personnel information on database and server per established protocols
- Develop, update and maintain Human Resources Standard Operation Procedures (SOPs) as needed/required
- Review, process and upload employee documentation using a cloud based system and communicate and confer with Managers
- Ensure that all documents are well written in a clear, concise and effective manner
