The Human Resources Administrator is responsible for all office administrative tasks, payroll, all employee files and paperwork, and the entire on-boarding process from interview to new team member training. The function of this job is to establish, maintain, and revise all systems of Human Resources to create the optimum job environment for all who come to work at Chick-fil-A. This position could possibly move to a Management an Executive Team Member if they can become our Culture Ambassador. As well as based on applicants experience could be hired in at a hirer rate of pay and title- within 30 days.
Key Responsibilities:
- Is a Culture Champion, working on programs and all actions that uphold the culture and vision set out by the Owner and Leadership Team
- Implement human resources strategies by establishing department accountabilities, including talent acquisition, staffing, employment processing, compensation (pay), health and welfare benefits, training and development, records management, safety and health (workers compensation claims), succession planning, employee relations and retention, AA/EEO compliance, and labor relations.
- Guide management and employee actions by researching, developing, writing, and updating policies, procedures, methods, and guidelines; communicating and enforcing organization values.
- Comply with federal, state, and local legal requirements by studying existing and new legislation; anticipating legislation; enforcing adherence to requirements; advising management on needed actions.
- Keep all team member information confidential never to be discussed unless it is with the Owner/Operator, as this role will be privy to classified information and wage information which in some cases will be more than the Director of HR makes based on role and experience.
Administrative Duties:
- Responsible for work email account
- Answer all phone calls/check voicemail daily
- Responsible for all communication with new hires
- Store organization of office, play place, and storage areas
- Ensure consistent compliance with all labor laws
- Ensure office is tidy at all times
- Report any team member or guest liability to Sedgwick
- Make copies of any needed paperwork to always be stocked in office
Payroll/Employee Files
- Responsible for all time punches and signatures on violations
- Mark time punches, submits payroll and print paychecks biweekly
- Mails all remaining paychecks the Tuesday after payday and files time punch report
- Manage, label, track, file, and update employee files daily, files terminations biweekly
- Track all minor working papers
- Manage binder of I9 paperwork, ensuring complete and up to date
- Annual update of tax forms, health policy, harassment policy, etc.
- Track hours for benefits and inputs paid leave into HR Payroll
- Lead W2 rollout annually
- Assist in the administration of team member reviews
- Assist leaders with disciplinary actions and write ups
Onboarding Duties:
- Ensure consistent inventory and order materials (nametags, uniforms, mini moos, mugs, candy) as well as office supplies (including but not limited to paper, envelopes, checks, ink/cartridge, and pens)
- Make copies and assemble Hiring Packets, Training Packets, and all of their components to include extras for employee changes
- Executes entire on-boarding process, organizes all applications, knows applicant status, and consistently improves to provide a remarkable experience for all new employees
- Assist and leads recruitment efforts
- Schedule, prepare, and execute all Orientations
- Identify business staffing needs, posts and monitors jobs accordingly
- Monitor all job posting outlets including Indeed
- Schedule interviews, conducts interviews, manages hiring binder, responds to applicants
- Inputs all new employee information to system
- Consistently update employee availability (seasonally and when hired)
- Order uniforms and communicates to new team members of its arrival
- Set up training shifts for all new team members; communicates with Directors
- Consistent communication to leaders of new hires/next steps
- Oversee training programs, prepares and leads new employee training
- Track all training programs and team member performance
- Create individual action plans for team members as needed
- Lead the charge on Food Safety Training for all team members
Other Responsibilities:
- Lead by example; upholds our culture every day
- Professional conduct at all times
- Coaches team on culture and standards at all times
- Monitor compliance with Chick-fil-A store policies
- Communication to outside sources for recruitment, labor laws, etc.
- Advocate and coach for Food Safety
- Assist in organization and execution of all culture and team events
- Submit week-end report to all leaders on new processes/development
Requirements:
· Strong organizational and planning skills (time management)
· Must be able to present to large groups and speak publicly
· Schedule flexibility and availability, especially when involving hiring seasons and recruitment activities
· Flexible with call outs, available for coverage
· Must be able to stand and move at a quick pace for up to eight hour shifts
· Must be able to lift at least 20lbs overhead
· Computer skills in basic Microsoft Office programs
· Reading, writing and oral proficiency in the English language
· Food Safety Handling Certification
· Attend all team events outside of work that are designed to enhance the team culture
