+ Serve as the departmental expert for all faculty and staff appointments, including professional, classified, student, hourly/temporary, and academic positions (e.g., clinical, research, lecturer, and teaching associate).
+ Manage and execute HR transactions in Workday, including hiring, FTE changes, compensation adjustments, terminations, and leaves.
+ Draft and review offer letters for faculty and staff hires, ensuring compliance with university policies, state regulations, and departmental requirements.
+ Oversee onboarding and offboarding processes for all new hires, including orientations, training, and dissemination of policies (e.g., ethics, conflicts of interest, outside work).
+ Coordinate faculty recruitment searches via Interfolio, managing correspondence, travel arrangements, and complex interview schedules.
+ Develop and maintain tracking systems for appointments, evaluations, publications, training compliance, and other key documentation.
+ Provide regular status updates to leadership.
+ Act as the liaison with the Dean's Office, Compensation Office, Benefits Office, and Academic Human Resources Office, ensuring compliance with institutional policies and approvals for HR actions.
+ Process and track faculty and staff leave requests, including FMLA, PFML, disability, and other leaves, ensuring compliance with applicable regulations.
+ Prepare weekly reports for leadership on recruitment, appointments, visa statuses, credentialing, and other HR initiatives.
+ Regularly update department intranet resources to ensure accurate and accessible HR information for faculty and staff. **Compliance & Best Practices**
+ Manage the annual merit process for faculty and staff, conducting data analysis, drafting communications, and collaborating with relevant business units to meet timelines.
+ Ensure compliance with records retention policies by securely maintaining accurate documentation for all HR actions.
+ Lead the annual staff performance evaluation process, creating timelines, managing communications, and providing guidance to supervisors.
+ Review and update remote work agreements annually and ensure completion of mandatory training for all personnel.
+ Administer the medical staff credentialing and reappointment process for faculty requiring hospital privileges at UW Medicine and affiliated sites.
+ Oversee onboarding for new central administrative roles, including 30-, 60-, and 90-day SMART (specific, measurable, achievable, relevant, and timely) objectives in collaboration with supervisors.
+ Manage intern and volunteer programs, ensuring compliance with labor laws and overseeing onboarding/offboarding and training compliance.
+ Provide supervisors with guidance on best practices for recruitment, performance management, and compliance with UW and legal policies. **Staff Supervision and Development**
+ Supervise 3.0 FTE, including a Faculty Appointments Manager, Staff Human Resources Specialist, and Payroll Analyst.
+ Oversee recruitment, training, merit review, compensation adjustments, performance evaluations, and compliance with state and federal HR regulations.
+ Promote staff development and ensure adherence to HR policies at the departmental, school, and institutional levels. **Management of Visas**
+ Collaborate with the UW International Scholars Operations (ISO) office and SoM Administrative Business Center to prepare visa applications and assist prospective visa holders with U.S. employment logistics.
+ Manage timelines and ensure timely processing of J-1 and H-1B visa applications, renewals, and associated costs.
+ Track visa expirations, monitor renewal opportunities, and ensure seamless transitions for visa holders. **Process Improvement and Other Duties as Assigned**
+ Identify areas for process improvement within departmental HR functions, develop proposals, implement changes, and evaluate outcomes.
+ Manage and update HR content on the department's intranet, including calendars, reminders, and compliance updates.
+ Track and report HR performance metrics, identifying opportunities for process optimization.
+ Support additional departmental projects and initiatives as assigned. **MINIMUM REQUIREMENTS**
+ Bachelor's Degree in Social Sciences, Communications, or other related field.
+ 5 years of experience. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS**
+ Previous experience directing supervising staff and managing performance concerns
+ Proven attention to detail and accuracy
+ Excellent verbal and written communication skills.
+ Demonstrated ability to independently manage multiple responsibilities concurrently under deadline pressure and changing priorities.
+ Strong organizational skills, ability to organize and complete tasks and projects independently, effectively and efficiently.
+ Ability to consistently apply sound professional judgment and critical thinking to address complex issues and solve problems.
+ Advanced working knowledge of Microsoft Office desktop applications.
+ Proven customer service orientation with outstanding interpersonal communication skills.
+ Ability to work with diverse people with tact, diplomacy, discretion and sensitivity.
+ Experience working effectively with senior administrators and professionals, including sensitivity to handling confidential information
+ Ability to work both independently and collaboratively.
+ Experience with academic and staff human resources policies, processes and procedures.
+ Demonstrated experience onboarding and training new staff members in complex systems
+ Demonstrated ability to evaluate new technologies to advance business objectives **DESIRED QUALIFICATIONS**
+ Experience with Workday
+ Experience/understanding of UW faculty appointments
+ Experience in workplace conflict and resolution management
