About the Job
Summary
The Human Resources Assistant will work closely with the hiring manager and HR business partner to assist with all recruitment-related duties. The HR Assistant will assist with onboarding new team members, including but not limited to processing the new team member’s background screenings, seating arrangements, and IT necessities.
Key Responsibilities
- Schedule meetings and interviews, send calendar invites, and onsite interviews
- Enforce Human Resources policies and procedures and ensure best recruiting practices are adhered to
- Assists with the recruitment process for exempt and nonexempt personnel
- Assist with processing background checks and drug tests
- Contribute to ongoing recruitment and onboarding processes and initiatives
- Provide support to candidates during the recruitment process
- Processing of new hire candidates
- Assist employees with day-to-day guidance and questions
- Heavy data entry in ADP Workforce Now or other HRIS
- Assists with new employee orientations; administers pre-employment paperwork; conducts reference checks
- May assist in the maintenance of personnel files, I-9s, and filing
- Provide administrative support to all Human Resource team members
- Perform other duties as assigned
Qualifications
Minimum Education and Experience
- High School Diploma or GED, plus a minimum 2-year administrative experience; or equivalent years of experience
- Bi-lingual (English/Spanish) required with excellent verbal and written communication skills
- Strong experience managing calendars
- Excellent computer skills with proficiency in MS Office, including Outlook and Excel
- Ability to maintain the highest level of integrity, professionalism, and confidentiality when dealing with sensitive private company or employee information
- Minimum of 3 years experience in high volume, fast-paced environment
Knowledge, Skills, and Abilities
- Strong organizational skills with the ability to work with minimal supervision
- Proven candidate sourcing and relationship-building skills
- Excellent interpersonal and negotiation skills
- Must have excellent communication skills
- Able to work in a fast-paced, multi-project environment with keen attention to detail
- Ability to multi-task, prioritize, and take on other projects in addition to current role responsibilities
- Must be creative and possess strong analytical skills
Physical/Work Environment/Expectations
While performing duties of job, incumbent is occasionally required to:
- Operate in a professional office environment
- Constantly use work related equipment
- To use hands, finger, handle or feel objects, tools, or controls
- Occasionally lift and/or move up to 25 pounds
- To sit for long periods of time (up to 10 hours per day); however, some filing is required
- To lift files, open filing cabinets and bend or stand as necessary
- Ability to work regular, full-time, on-site schedule, Monday through Friday with flexibility to work additional hours depending on business demands
