Position Summary:The Human Resources Administrative Assistant supports our Human Resources team in key areas such as HRIS management, onboarding, benefits administration, recruiting, and general administrative support. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for helping employees and supporting the organization's mission to fight hunger.
The pay range for this position is approximately $25.00 per hour to $28.00 per hour depending upon experience and qualifications.Key Responsibilities:
- Maintain and update employee records in the Human Resources Information System (HRIS), ensuring data accuracy and timely input of new hires, changes, and terminations.
- Run reports and provide HR data as needed.
- Facilitate the new hire onboarding process, including preparing offer letters, scheduling orientation sessions, collecting required paperwork, and ensuring a smooth onboarding experience for all new employees.
- Assist with scheduling interviews, meetings, training sessions, and other HR-related events. Coordinate calendars for the Chief People Officer and other HR staff as needed.
- Support the recruiting process by posting job openings, coordinating interviews, and conducting initial candidate screenings. Maintain job requisition files and applicant tracking records.
- Assist with benefits administration, including enrollment, changes, and terminations in benefit programs. Serve as a point of contact for employees' benefit-related questions and liaise with benefits providers as necessary.
- Assist with processing requests for leave of absence.
- Assist with Family and Medical Leave compliance.
- Draft, distribute, and post internal communications, such as HR announcements, updates, newsletters, and reminders. Assist in maintaining and updating employee resources, handbooks, and intranet pages.
- Provide general administrative support to the HR department, including document management, filing, preparing HR reports, and assisting with special projects. Ensure compliance with HR policies and regulations.
- Respond to employee inquiries regarding HR policies, procedures, and programs. Escalate more complex issues to the HR management team when necessary.
Requirements
Minimum Qualifications- Associate's degree in human resources, business administration, or related field
- 1 year of administrative or HR-related experience (experience may have been acquired during internship)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to maintain strict confidence
- Bachelor's degree in Human Resource Management
- HR Professional Certification
- Experience working in HRIS Systems, Paylocity preferred
- Experience administering employee benefits
- 3 years of experience working as part of an HR team
- Bi-lingual (English-Spanish)
