POSITION SUMMARY
The Human Resources /Administrative Assistant will support the HR department in various administrative tasks and projects, contributing to the overall efficiency of HR operations. The HR /Administrative Assistant must be able to manage several tasks/projects at one time. This position is also responsible for the efficient operation of the office and may be assigned special projects when necessary.
RESPONSIBILITIES
- Recruiting: schedules phone screens and in-person interviews at two Saint Louis locations. Updates and maintains ATS. Follows up with candidates regarding next steps.
- Onboarding: requests and ensures all new hire documentation is received in a timely manner; orders background checks and drug screens; enrolls new hires in applicable platforms; schedules new employee orientation.
- Reports: prepares recurring reports, including KPIs/management reporting and recruiting reports.
- Events & Culture: administers employee recognition programs (e.g., awards, first sale acknowledgment); updates employee bulletin board; recognizes birthday and anniversaries.
- Administrative: assists with preparing and routing contracts for electronic signature, following up to ensure completion. Proactively updates and maintains contract databases. Manages vendor credentialing processes and other sale-support activities.
- Office support: greets visitors, maintains phone system including management of employee/department extensions; screens and directs phone calls; distributes correspondence; coordinates carrier deliveries / pickups, arranges in-office and out-of-office events or meetings, assists executives with meeting and travel planning; ensures lobby, conference rooms, and kitchen remain tidy; processes customer check and credit card deposits/payments, as needed.
- Performs other administrative and HR support duties as assigned.
QUALIFICATIONS
- 2-5 years prior work experience as an HR Assistant or similar role.
- Proficient in MS Office (Outlook, Word, Excel, Powerpoint), Adobe Acrobat
- Excellent verbal and written communications skills, including spelling and grammar.
- Experience with credentialing services is a plus.
- High School degree with significant work experience required; bachelor’s degree preferred
- Notary preferred.
