POSITION SUMMARY:The Human Resources Assistant is responsible for supporting a variety of HR administrative tasks, including onboarding, benefits administration, data management, and HR projects. This role plays a crucial role in shaping the experience of applicants and employees, reflecting the organization's commitment to being a warm, inclusive, and welcoming community. The assistant will work closely with internal stakeholders, demonstrating excellent customer service. Key responsibilities include assisting with employee orientations, maintaining HR records, processing background checks, managing HR calendars, and supporting benefits plan administration. Proficiency in Google Workspace and Microsoft Office, attention to detail, and the ability to handle confidential information are essential. Fluency in American Sign Language or a willingness to learn is required.
FUNCTIONS AND RESPONSIBILITIES:Support all HR functions, including the application and onboarding processes, scheduling interviews, reference checks, employee orientation and training, creation of new employee files, and maintenance and compliance of employee files.
Ensure accurate completion and submission of all required paperwork, maintaining proper records.
Manage and maintain the HR calendar, preparing agendas and coordinating and scheduling meetings as needed.
Manage employee ID accounts and access permissions, following our access safety protocols.
Assist employees with key distribution, following the required process and procedures.
Update and maintain employee information in HRIS, currently Paylocity. Generate reports, track data, and perform analysis as required.
Record and prepare detailed meeting minutes, including confidential meetings, ensuring accuracy and timely distribution.
Create PowerPoint presentations to support HR communications, projects, and trainings.
Assist with health and benefits plan administration, including enrollments, changes and terminations.
Process background checks and assist with scheduling fingerprint appointments.
Assist with TLC accreditations, audits and licensing reviews.
Track and process HR expenses, including completing and submitting expense reports.
Perform a variety of administrative tasks such as filing, copying, mailing, scanning, and responding to HR-related calls, emails, and inquiries.
Perform other tasks as assigned by the HR Director.
EDUCATION & EXPERIENCE:- High school diploma or equivalent required
- 2+ years of administrative experience preferred
This position may require prolonged sitting at a desk and working on a computer, standing, bending and kneeling, sedentary lifting, and reaching.

Requirements
POSITION REQUIREMENTS:- Demonstrated ability to maintain strict confidentiality and handle sensitive information with discretion
- Strong Microsoft Office and Google Workspace skills and proficiency with Mac/Apple computers, as well as capacity and willingness to learn new applications
- Excellent, detail-oriented organizational skills
- Willing to take the initiative and work independently
- Knowledge of Human Resources practices and law and/or capability to learn
- Ability to complete expense reports and track HR spending
- Experience with Paylocity, a plus
- Fluent in American Sign Language, or willingness to learn
