Employment Status: Full-Time, Monday-Friday 8:30am-5:00pm
Position Summary
The Human Resources Operations Assistant plays a pivotal role in the Human Resources Consulting division by managing administrative and operational tasks. The Human Resources Operations Assistant is responsible for creating and maintaining comprehensive databases and files, streamlining Human Resources processes, and facilitating effective communication to ensure seamless Human Resources operations and exceptional support for both internal teams and external clients. This role involves supporting recruitment, onboarding, and employee records management, as well as ensuring compliance with HR policies and regulations.
Essential Expectations and Responsibilities:
- Create and maintain client databases and processes.
- Produce and update documentation of all procedures for clients.
- Standardization of regularly used documents, files, and resources.
- Maintain and regularly update spreadsheets with client policy numbers, passwords, key contact information, and other pertinent information.
- Manage the HR inbox; monitor and address inquiries in a timely manner.
- Address or facilitate responses to internal queries from colleagues regarding HR matters.
- Provide internal and external partners with HR guidance when HR Consultants are unavailable.
- Convert PDF documents into fillable forms.
- Support clients with compliance-related responsibilities, including ordering Labor Law posters, training sessions, and necessary applications.
- Draft HR marketing materials as necessary.
- Manage the onboarding process by drafting offer letters, coordinating background checks, scheduling drug screening appointments, and ongoing communication with the candidates.
- Administer the termination process, including generating separation letters, managing benefits cancellations, and executing exit interviews.
- Assist with recruitment efforts for clients, including job postings, candidate communications, and other related activities.
- Offer research assistance and support on a variety of projects and tasks.
- Oversee and manage claim applications for various leaves including Family Medical Leave Act (FMLA), disability, and Paid Family Leave.
- General administrative support to the HR Consulting division.
- Perform other work-related duties as assigned.
Minimum Qualifications (Knowledge, Skills, and Abilities):
- Minimum of 3 years' experience in an administrative Human Resources support role.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite.
- Familiarity with HRIS and payroll systems.
- Ability to handle confidential information with discretion.
- Attention to detail and accuracy.
- Strong problem-solving skills and proactive attitude.
- Willingness to learn and adapt in a dynamic environment.
