About this Role
The HR Payroll Coordinator is responsible for preparing, processing, and administering payroll for employees, including overseeing shadow payrolls for employees working in multiple jurisdictions. This role requires a meticulous approach to data verification, input, and auditing to ensure accurate and timely payroll processing each pay cycle. The Senior Payroll Clerk handles inquiries from staff, resolves discrepancies, and adheres to all payroll procedures and policies while maintaining strict confidentiality.
What You'll Do
- Prepare and process payroll, ensuring timely and accurate data entry for all employee pay, deductions, and adjustments.
- Administer shadow payrolls for employees working internationally or in other tax jurisdictions, coordinating with tax professionals as necessary to ensure compliance.
- Collate, verify, and input payroll data into the payroll system, updating records and processing changes to employee profiles as required.
- Perform routine reconciliations and audits during each pay cycle to identify and resolve any discrepancies or errors.
- Prepare and submit necessary reports and forms required by the IRS or other regulatory bodies, ensuring adherence to all relevant guidelines and regulations.
- Respond to payroll-related inquiries from employees, providing accurate and timely information. Research and resolve payroll discrepancies and omissions, escalating complex issues as needed.
- Follow established payroll processing procedures, uphold company policies, and maintain strict confidentiality of payroll data.
What You'll Bring
Education: High school diploma or equivalent required. Additional coursework in accounting, finance, or payroll management is a plus.
Experience: 3-5 years of related experience in payroll processing, with proficiency in payroll administration and shadow payrolls preferred.
Skills:
- Strong attention to detail and data accuracy
- Proficiency with payroll software and Microsoft Office Suite
- Knowledge of payroll regulations, including tax and compliance requirements
- Effective communication and problem-solving skills
- Ability to work independently within established procedures and deadlines
Competencies:
- Ability to manage multiple payrolls, including shadow payrolls, in a fast-paced environment
- Strong organizational skills and a systematic approach to handling payroll discrepancies
- Commitment to upholding confidentiality and integrity in payroll administration
