We are seeking an experienced and dynamic HR Generalist to join our team in Tysons Corner, VA. As an HR Generalist, you will play a crucial role in supporting the daily operations of our Human Resources department. Responsibilities:
Onboarding:
- Prepare and process new hire paperwork (I-9 forms, tax documents, benefits enrollment).
- Set up new employees in HR systems (ADP, JobDiva).
- Conduct orientation sessions to introduce company policies, culture, and procedures.
- Coordinate with IT to set up email accounts and equipment for new hires.
- Ensure compliance with legal and company requirements during the onboarding process.
- Facilitate exit procedures, including conducting exit interviews and processing necessary paperwork.
- Coordinate the return of company equipment and deactivation of system access.
- Process final payroll and benefits termination.
- Document reasons for departure and gather feedback for organizational improvement.
- Draft, review, and manage employment contracts for new hires and existing employees.
- Ensure contracts comply with legal standards and company policies.
- Maintain records of all employment agreements.
- Manage contracts for contractors and consultants (Corp-to-Corp).
- Ensure compliance with legal and company requirements.
- Track contract terms, renewals, and terminations.
- Allocate and manage resources based on client needs and project requirements.
- Track and report on resource utilization and availability.
- Coordinate with project managers to ensure optimal resource allocation.
- Oversee the collection, review, and processing of employee timesheets.
- Ensure that timesheets processes and procedures are adhered to by employees and contractors.
- Serve as an escalation point to address any discrepancies or issues with timesheet submissions.
- Oversee processing of payroll to ensure its accuracy and timeliness.
- Serve as an escalation point to address payroll-related inquiries and issues from employees.
- Manage employee benefits enrollment and changes.
- Manage Open Enrollment including:
- Renewal planning with carriers and benefit broker team
- Create Open Enrollment cycle in HRIS to function for all eligible employees
- Communicate all aspects of Open Enrollment including dates, changes to upcoming plan year, etc.
- Ensure carrier files are effectively transmitted, received, and processed properly - Assist employees with benefits inquiries and issues.
- Administer company’s 401k plan in conjunction with benefit brokers serving as point of contact for meetings, maintain all plan documents, coordinate employee educational sessions, etc.
- Assist employees with 401k enrollment and management.
- Coordinate with 401k plan administrators.
- Ensure compliance with regulatory requirements.
- Oversee processes and procedures for employee expense reimbursement requests.
- Ensure compliance with company policies and procedures.
- Serve as an escalation point to address any discrepancies or issues with expense reports.
- Handle employee grievances promptly and professionally.
- Investigate and resolve issues in accordance with company policies.
- Advocate for the company while maintaining a fair and supportive environment.
- Serve as an escalation point to address employee inquiries regarding HR policies, benefits, payroll, and other HR-related matters.
- Provide accurate and timely information to employees.
- Coordinate and manage the performance review process.
- Ensure timely and constructive feedback is provided to employees.
- Track and document performance review outcomes.
- Plan and execute corporate events, including team-building activities and company celebrations.
- Coordinate logistics and manage event budgets.
- Ensure events align with company culture and objectives.
- Manage incoming and outgoing HR-related mail.
- Ensure timely distribution and response to mail items.
- Develop, implement, and update HR policies and procedures.
- Ensure compliance with legal and regulatory requirements.
- Communicate policies and procedures to employees.
- Manage relationships with third-party vendors (e.g., benefits providers, payroll services).
- Ensure vendors meet service level agreements and performance standards.
- Address any issues or concerns with vendor services.
- Act as an HR business partner, supporting employees from recruitment through the entire employee life cycle.
- Provide guidance and support on HR-related matters.
- Foster positive employee relations and contribute to a supportive work environment.
Cooperation and Coordination with Other Business Units:
- Collaborate with recruiting, sales, finance, immigration, and the CEO to ensure alignment and support for HR initiatives.
- Facilitate communication and cooperation between HR and other departments.
- Support cross-functional projects and initiatives.
Qualifications:
- Bachelor’s degree in human resources, Business Administration, or related field.
- 3 to 5 years of progressive HR experience in the United States.
- Knowledge of HR laws, regulations, and best practices.
- Excellent communication skills, both written and verbal.
- Ability to work independently and collaboratively within a team.
- Detail-oriented, organized, and adaptable.
- Experience with ADP WorkforceNow
- Experience with JobDiva (ATS)
