Summary:
Operates multiline telephone system to answer incoming calls and directs callers to appropriate personnel. Schedules appointments, gives information to callers. Handles inquiries made by walk in visitors and employment applicants. Assists the Human Resources Generalist or Manager. Relieves officials of clerical work and administrative and business detail by performing following duties:
JOB FUNCTIONS:
- Retrieves message from voice mail and forwards to appropriate personnel.
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or departments.
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Monitors visitor access and issues passes when required.
- Maintains schedules for executive personnel and conference room use.
- Updates phone extension directory.
- Receives, sorts and routes mail, and maintains and routes publications.
- Creates and prints fax cover sheets, memos, correspondence, reports and other documents when necessary.
- Assists HR Generalist/Manager as needed.
- Performs other clerical duties as needed, such as filing, photocopying and collating.
- Prepares outgoing mail and correspondence, including e-mail and faxes.
- Makes sure applications for employment are complete.
- Maintains the security camera.
As necessary, performs other related duties of which the above representative.
*Management must contact the Human Resource department for adding to or changing a significant number of duties.
JOB REQUIREMENTS:

MINIMUM DIRECTLY RELATED JOB EXPERIENCE:
- Two years experience in a receptionist environment.
MINIMUM KNOWLEDGE, ABILITIES, AND SKILLS:
- Strong phone etiquette and ability to communicate with customers and vendors Organizational skills.
- Knowledge of basic mathematics.
- Ability to interact with a team of coworkers.
- Knowledge and experience with Microsoft Office, i.e., Excel, Work and Outlook.
- Able to read and comprehend documentation written in the English language.
- Written communication skills.
PHYSICAL MOTION:
- Sits at least 65% of each day.
- Other Motions: walking; bending; carry-reaching above; sitting; repetitive motion hand-wrist; repetitive motion elbow-shoulder; fingering; grasping; feeling; hearing; talking; seeing; eye-hand/foot coordination.
