Position Summary

We are seeking a highly organized and detail-oriented HR Administrative Assistant to join our team. This role is essential in supporting the HR department’s daily operations, ensuring efficient administrative processes, and maintaining a positive experience for employees and candidates alike.
Requirements
Administrative Support
- Provide general administrative assistance to the HR Manager and team, including managing calendars, scheduling meetings, and organizing department files.
- Prepare and distribute HR-related correspondence, memos, and other documents as needed.
Record Management
- Maintain both physical and digital employee records in compliance with company policies and legal requirements.
- Assist in updating employee information in HRIS and other HR systems.
Onboarding & Offboarding
- Coordinate the new hire onboarding process, including preparing documentation and conducting background checks.
- Assist in processing terminations, collecting company property, and archiving employee files.
Recruitment Coordination
- Schedule interviews and communicate with candidates, providing a professional and welcoming experience.
- Collaborate with the HR Recruiter to track candidate status and maintain applicant information in the ATS.
Compliance & Reporting
- Ensure compliance with federal, state, and local employment regulations by maintaining accurate records and filing documentation correctly.
- Prepare routine HR reports and assist with audits as required.
Employee Services
- Respond to internal and external HR-related inquiries or requests and direct them to the appropriate person.
- Support employee engagement and recognition initiatives.
General HR Support
- Assist with special projects, events, or other HR-related duties as assigned.
- Keep informed about industry best practices and changes in HR policies or regulations.
Qualifications
Education and Experience
- High school diploma or equivalent; Associate’s or Bachelor’s degree in Business, Human Resources, or related field preferred.
- At least 1–2 years of administrative experience; prior exposure to an HR environment is a plus.
Skills
- Excellent verbal and written communication skills, with the ability to interact professionally at all levels.
- Strong organizational and time management abilities, capable of balancing multiple tasks.
- High attention to detail and accuracy in work.
- Discretion in handling confidential information.
Technical Proficiency
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general business software.
- Familiarity with HRIS systems and Applicant Tracking Systems (ATS), specifically Workable, is preferred.
- Knowledge of basic employment regulations and HR policies is advantageous.
