-Prestigious growing investment banking firm is seeking aspiring an HR Admin Coordinator as an administrative associate to our staff, as well as, assisting Human Resources Manager . This position is reporting directly to the HR Manager and will require someone who is foremost a team player, professional, friendly, outgoing, well-spoken and selfmotivated. Helping to support the employee and client experience, this individual will need to be well organized with the ability to multi-task, solve problems quickly, carry themselves with a positive can-do attitude, have willingness to assist staff, ability to think ahead, be creative and quick to learn new programs. Candidate must be professional, well organized, flexible, and reliable. Responsibilities Perform administrative tasks such as maintaining employees lists, answering phones and emails, sorting through mail and greeting visitors. Assist employees and managers with creating documents, copying, scanning, travel, expenses and mailings. Laison to building for communicating guests, ordering employee ID cards, maintaining office conditions in the reception area, copy room, kitchens and other common areas. Responsible for managing & ordering office and kitchen supplies, as well as, finding the most costefficient vendors and products. Assist with onboarding and orientation of new employees giving them a positive experience by supplying them with the guidance, training, paperwork and direction needed to be successful in their new role. Assist with the planning and possibly leading various employee training programs. Confirm accuracy of invoices for employee benefits and office vendors. Help facilitate the firm's Internship Program through collaborating ideas and scheduling with the business managers. Arrange for seminars that may be helpful to our employees such as health and financial well-being. Organize charitable and employee events to help boost morale and promote diversity and inclusion amongst our employees. Prepare weekly/monthly employee benefits reports. Assist HR Manager with enhancing our employee experience and overall office morale through improving benefits, training, employee communication/recognition and special events. Requirements Proven education or prior experience as an Administrative Assistant (Human Resources experience a plus) Effective time-management skills and the ability to prioritize work Strong organizational skills with strong attention to detail Excellent written and verbal communication skills Creative and innovative with ideas surrounding the employee experience Ability to work well with people and show compassion Proficient in MS Office Suite (Excel, Word, PowerPoint and Outlook) Quick problem-solving skills with the ability to multi-task
