The Hospitality Event Operations Manager executes events while ensuring that all logistics requirements are carried out according to the event plans. This position must manage the event department at both locations (Amherst and Derry) and work closely with other departments to ensure that all operational requirements of the events are fulfilled. This role must be fulfilled with the ultimate goal in mind: Executing perfect events that more than satisfy guest expectations, always going above and beyond the bare minimum in the mindset of “extreme hospitality”.
The candidate must be detailed and resourceful, and possess excellent problem-solving skills while being able to react quickly to deviations in the event plans or challenges as they present. Must be quick-thinking and on your feet action at all times.
This position requires a flexible workweek, including weekends, evenings, and public holidays, and is comfortable working in both indoor and outdoor environments.
Essential Event Responsibilities:
- Manage execution of event logistics to support the sales department after the planning stage. This includes communicating effectively across departments such as Facilities, Tasting Room, Scheduling Managers, Culinary department, etc.
- Lead our hospitality managers through training, constant communication, leading by example, and corrective actions when necessary. It is vital for this role to demonstrate extreme hospitality and to ensure that all hospitality managers are doing the same.
- Serve as the primary on-site contact for clients during events, demonstrating exceptional interpersonal skills and emotional intelligence when working with hosts during significant life moments (weddings, showers, celebrations, corporate events). Must be able to:
- Anticipate client needs and address concerns proactively
- Navigate high-emotion situations with grace and professionalism
- Communicate timeline changes or adjustments tactfully
- Build rapport quickly with clients and their guests
- Handle last-minute requests diplomatically while balancing operational constraints
- Attend weekly Banquet Event Order meetings to collaborate with Sales Managers to review event logistics such as staffing, bar requirements, decor needs, billing, furniture lay outs, and adequate day of management.
- Develop final accommodation plans for guests via scheduling and coordinating ordering with our purchasing department (decor, small-wears, Front of House utensils, etc.).
- Continuous monitoring of department SOPs and policies for optimal efficiency such as staff/management training, tip adherence, and interdepartmental communications.
- Manage all Front of House Toast needs for billing edits, staff access/permissions, function programing, trouble shooting, and revenue allocation accuracy.
- Ensure events follow local security, Workplace Safety and Health regulations, and state liquor laws.
- Manage escalated on-site issues with clients, guests, and/or staff.
- Resolve escalated client inquiries regarding events through in-depth staff investigations, any necessary staff coach & counseling that may result, and detailed reports to both Human Resources and Vision team.
- Maintain small ware and furniture inventory for both locations as it pertains to the Events department to ensure smooth operation with forward-thinking planning
- Work with Event Ops Admin to ensure efficient use of bar inventory, decor program and Front of House staff each week.
- Report any employee conflict or issues to Human Resources via a detailed written note to file.
- Participate in/execute any necessary disciplinary documentation in adherence with LaBelle’s progressive procedures.
- Execute schedule writing for Manager on Duty’s in a timely and thoughtful fashion in accordance with LaBelle’s standard; prioritizing business needs as well as individual’s quality of work-life balance. This will fluctuate your participation in day of event executions.
- Manage on Duty Paid Time Off Requests and anticipate any or all conflicts agains event calendar. This will fluctuate your participation in day of event executions.
- Supporting Manager on Duty on day of execution primarily from a birds-eye perspective. Operating as a primary or secondary Manager on Duty whenever necessary, wherever applicable and running at least 4 events per week
- Support additional building departments when able including but not limited to: Bistro, Culinary, Tasting/Retail, & Facilities.
- Ensure all event staff maintain LaBelle's professional image by monitoring uniform compliance, enforcing dress code standards, and conducting pre-shift appearance checks. Responsible for maintaining departmental grooming and uniform standards, addressing any violations promptly, and ensuring all staff are properly attired before clocking in for their shift.
- Mandatory training of basic bartending skills to provide support during high-volume events and to better understand bar staff needs and challenges
- Other duties may be assigned
Qualifications:
- Bachelors Degree; Hospitality Management preferred
- Event management experience (5 years)
- Strong emotional intelligence and ability to remain calm under pressure
- Professional and polished communication style
- Experience managing client relationships in high-touch hospitality environments
- Ability to maintain stress and composure at all times
- Strong communication skills required
- Attention to detail and organization
- Ability to work a flexible schedule
Physical Requirements:
