Position Summary
At Stony Brook Medicine, the Hospitalist Program Coordinator provides a full range of administrative support to the Hospitalist Program. The successful incumbent must demonstrate a professional demeanor, excellent organizational skills, attention to detail and the ability to complete all assignments within the expected timeframe.
Duties of the Hospitalist Program Administrative Manager may include the following but are not limited to:
- Reviews the patient assignments on a daily and ongoing basis and reassigns patients to appropriate clinical teams based upon acuity, census and geography.
- Reviews and sends updates to the clinical team specific for observation patients who have a length of stay of 48 or greater.
- Build overflow assignments on a daily basis.
- Provides administrative support to the Hospitalist Program Office administrative staff, faculty and clinical staff (nurse practitioners and physician assistants).
- Maintains the on-call schedule and calendar using Outlook, including the coordination of incoming invitations and scheduling meetings on behalf of the department.
- Loads on-call directories for the department.
- Takes and transcribes meeting minutes.
- Assists with Accounts Payable.
- Will round on inpatient floors and enter patient rooms to gather data for projects, deliver correspondences, complete questionnaires, surveys, and audits.
- Other duties as required.
Qualifications
Required Qualifications
- At least 1 year of current administrative/clinical experience in an Academic Medical Center or affiliated department.
- Proficiency in all Microsoft applications including Word, Excel and Outlook.
- Current proficiency with the Cerner electronic medical record, and the Kronos timekeeping system.
Preferred Qualifications
- Current experience in supply and equipment ordering, processing reimbursement and expense tracking.
- Clinical understanding of the working diagnosis of general medicine patients with the experience to properly assign patients, based upon their acuity, to appropriate clinical teams.

- Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services.
- Complete electronic reference check with a minimum of three (3) professional references.
- Successfully complete a 4 panel drug screen.
- Meet Regulatory Requirements for pre-employment screenings.
- Provide a copy of any required New York State license(s)/certificate(s).
Failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer.

Anticipated Pay Range:
The salary range (or hiring range) for this position is $46,818 - $62,424 / year. The above salary range represents SBUH’s good faith and reasonable estimate of the range of possible compensation at the time of posting. The specific salary offer will be based on the candidate’s validated years of comparable experience. Any efforts to inflate or misrepresent experience are grounds for disqualification from the application process or termination of employment if hired.
Some positions offer annual supplemental pay such as:
- Location pay for UUP, CSEA & PEF full-time positions ($3400).
