Responsibilities will include providing excellent customer experience every time to those inquiring about payer coverage pertaining to the services HME provides and status of submitted claims. Conduct follow-up and order resupply calls to customers as necessary. Works closely with offsite departments to maintain proper product ordering and usage frequency. Provides instruction, consultation, and fitting to patients/customers for diabetic shoes and compression garments at offsite offices. Advises and instructs the HME Sales Specialist as to the proper billing procedures for various types of drop-ship medical equipment including but not limited to mobility products, incontinence supplies, diabetic testing and insulin supplies, ostomy supplies, bath safety, urological, and wound supplies.

Overview of Responsibilities:
- Completes claim data collection in accordance with CMS standards and transmits files to CMS in a timely manner. Ensures all information is complete and correct before submitting data.
- Uses computer and software programs with proficiency.
- Provides excellent customer service.
- Operates and balances cash register, when needed for shift coverage.
- Calls Materials Handling Department to clarify products stocked in Hospital warehouse when needed.
- Relays information to patients, customers, and other staff members.
- Schedules appointments for HME Specialist and Manager using Microsoft Outlook.
- Follows Code Procedures.
- Completes logs for admissions, discharges, and medical necessity for HME.
- Greets every customer or patient that enters the HME store or HME Offices with eye contact and a warm positive tone.
- Communicates with health information management and patient financial assistance for additional billing needs.
- Processes transactions using the HME point of sale software, when needed for shift coverage.
- Responsible for inventory management and new product data entry, for billing DME/HME services only.
- Processes incoming and outgoing eFaxes through Brightree as well as outgoing HME department mail.
- Represents the hospital and patient by communicating with payers as required.
- Accesses HME department voicemails, and logs appropriately for Quality Improvement.
- Answers the phone using the appropriate HME greeting within three rings.
- Transfers calls to the appropriate HME staff member or refers to a servicing provider.
- Completes daily worklist in HME billing software.
- Fills in on unscheduled hours/shifts when needed, may include open or closing shifts.
- Prepares material for bi-monthly staff meetings pertaining to billing and work flows.
- Checks work emails daily for updates and HME department communications.
- Processes Prior Authorization forms, Certificates of Medical Necessity, and documentation for appropriate billing of equipment and supplies to third party payers.
- Assists with filing, shredding, and other department record keeping as necessary.
- Maintains record keeping and filing system in accordance with departmental policy. Classifies, sorts, and files correspondence, records, and other documents accordingly. Purges files in accordance with policy. Retrieves information from files as requested.
- Assists in developing and implementing clerical policies and procedures for efficient department operation.
- Works closely with offsite departments to maintain proper product ordering and usage frequency.
- Works at offsite locations such as Wound Healing Center, Reid Health PACE Center, Endocrinology, and Urology one or more days a week to provide drop ship guidance and education to other departments who utilize our services.
- Maintains Drop Ship inventory in the HME billing software Brightree, ensuring that all items are loaded accurately and will bill correctly depending on the payer.
- Creates accurate templates for patient supply reorder in HME billing software.
- Coordinates patient refill/resupply orders in Brightree, ensuring that the patient does not run out of supplies and they are delivered timely and regularly.
- Documents each patient conversation and interaction concerning drop ship supplies in HME billing software in accordance with CGS Medicare guidelines.
- Provides support to the HME Billing Intake when needed to cover incoming orders and maintain the Epic HME Pool Orders.
- Provides instruction, consultation, and fitting to patients/customers at offsite offices for diabetic shoes and compression garments.
- Communicates with Reid HME contracted vendors to negotiate pricing and product selection.
- Minimum of High School diploma or equivalent.
- Minimum two years customer service and excellent computer skills.
- Two years medical office or related experience, HME/DME product knowledge preferred.
