About the Job
KEY ACTIVITIES
- Administrative process improvement: Identify and implement ways for the Growth Programs team to become more process-driven and organized; Build templates, checklists, and systems for managing common administrative tasks; Ensure adoption and continuity of organization-wide administrative policies and procedures within the Growth Programs team.
- Manage digital materials and channels: Organize the library of Growth Program digital materials, including learning guides, recordings, datasets, reports, etc.; Publish and upload program resources into shared folders and onto INN’s learning management systems (LMS) and website (WordPress); Manage team and INN member access to program materials and communication channels, including shared folders, software, Slack channels, listservs, etc.; Regularly audit the organization of and access to digital files, shared accounts, and communication channels.
- Virtual meeting and webinar support: Assist with Growth Program virtual training, webinars, and in-person events; This includes setting up registration pages and Zoom links, offering logistical support during webinars (recording, monitor chat, running slides, etc.); Support Growth Program team members with booking guests and speakers; Coordinate the webinar evaluation process, including administering feedback surveys and producing recap reports.
- Vendor management: Support Growth Program managers and directors in onboarding vendors and independent contractors; Draft statements of work, RFPs, and contract documents; Track status of vendor onboarding and offboarding; Coordinate with Finance team to track scheduling of payments.
- Survey coordination and data management: Build surveys and forms to support the application, reporting, and evaluation processes for Growth Programs using Google Forms, JotForms, or similar software; Administer invitations to fill out surveys and track completion; Input survey data into CRM and tracking spreadsheets using Google Sheets or MS Excel; Produce summary reports as needed.
- Program outreach coordination: Assist with drafting, proofreading, and scheduling program outreach announcements, including via email using Constant Contact or mail merge tools like GMass/ YAMM; Coordinate with the Communications team to schedule outreach messages on internal and external messaging channels.
- Customer service: Screen general Growth Programs inquires to shared inboxes; Promptly respond or route emails to the appropriate team member for assistance; Draft templated answers to frequently asked questions.
- Scheduling and meeting support: Schedule select group meetings with INN members and external partners; Organize and distribute preparation materials for meetings and take notes when needed.
REQUIRED QUALIFICATIONS
- Highly organized with excellent follow-up and prioritization skills
- Ability to multi-task and work collaboratively with others in a virtual team environment
- Ability to communicate effectively, both verbally and in writing
- Calendar management skills, including the coordination of meetings with many stakeholders
- Proficiency in using Google Workspace (or Microsoft Office) software and shared file systems like Dropbox
- Intermediate Google Sheets (or Microsoft Excel) knowledge, including an ability to organize data and apply formulas
- Experience loading content in CMS (WordPress), newsletter management (Constant Contact, Mailchimp), or event management platforms (Eventbrite)
PREFERRED QUALIFICATIONS
- Experience working in a fast-paced or startup environment
- Experience working for a membership organization or professional association
- Experience scheduling/ moderating video conferences (Zoom)
- Familiar with CRM data management and entry processes
COMPENSATION & CONDITIONS
INN has operated as a remote team since 2016, and this will be a remote position. The salary range for this position is $48,000 to $55,000, based on experience, education, and potential; generous equipment, vacation, retirement, and learning benefits. This job involves U.S. travel post-COVID, probably building to 1 domestic trip a year.
