Position Overview:
A well-established community-based organization located in Manhattan is seeking a highly qualified and experienced Grants Supervisor to oversee all grants and funding contracts within the organization. The Grants Supervisor will work closely with various departments, ensuring effective management and compliance of all grants, and will supervise a team of grants accountants under the support of the Controller.
Schedule: Monday through Friday, 9:00 AM to 5:00 PM
Salary Range: $130,000 - $145,000 + potential bonus
Location: NYC (hybrid schedule)
Salary will be based on years of experience and qualifications.
- Grant Management: Track and monitor the status of all grants (billing and collection, budget modifications, amendments, renewal, etc.).
- Collaboration: Work closely with the Director of Contract Compliance and Quality Assurance and the Director of External Affairs regarding contract funding and discretionary funding.
- Supervision: Supervise all program accountants, reviewing their work for accuracy and ensuring high-quality financial reporting.
- Program Review: Conduct monthly and quarterly meetings with programs to review spending, billing, and budget adherence.
- Internal Budget Process: Work with the Controller and CFO on the annual internal budget process.
- Reporting: Prepare and submit required financial reports, including CFRs and other documentation for external funders.
- Grant Data Management: Monitor, input, and review all grant data across required City/State/Federal portals and systems.
- Financial Projections: Ensure grant accountants provide accurate financial projections, coordinating budget/forecast preparation, and advising departments on data analysis.
- Compliance: Ensure all grants comply with regulations, conducting audits and preparing required schedules.
- Liaison Role: Act as the primary point of contact with funders and coordinate grant-related requests.
- RFP Development: Assist in the preparation of RFP responses, including budget and budget narrative development.
- Cost Allocation: Oversee proper cost segregation and allocation of costs within the organization’s financial systems.
- Education: Bachelor’s Degree preferred, or a minimum of 5 years of supervisory experience.
- Experience: Minimum of 5 years of professional experience in a related field, with a strong knowledge of grant processing and government regulations (including the Uniform Guidance).
- Accounting Skills: In-depth understanding of accounting and financial reporting, with a focus on grant administration.
- Technical Skills: Proficiency in Microsoft Office, including advanced Excel skills; familiarity with Intacct and government portals; prior experience with NYC PASSport is a plus.
- Superior attention to detail with the ability to analyze and communicate data concisely.
- Ability to manage multiple projects with tight deadlines.
- Capability to work independently and as part of a team in a dynamic, fast-paced environment.
- Strong communication skills, with the ability to present and respond to questions from a variety of stakeholders.
- Ability to maintain confidentiality of sensitive information.
- Work Environment: Hybrid position with weekly in-person attendance at the office.

- the individual’s skill sets, experience and training;
- licensure and certification requirements;
- office location and other geographic considerations;

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
